KEY ACTIVITIES
- To provide reception duties - this will involve answering the telephone and face to face contact with visitors to the Malaysia Head Office, who will be dealt with in a responsive and courteous manner.
- Incoming/outgoing mail
- Liaison with clients, agents, forwarders and suppliers
- Reconciliations (monthly petty cash, rental payment and cross charge from companies agents)
- Proactive Sales Collections
- Order Processing from contract review to delivery of goods to customers and review of invoices
- HR related tasks such as administration of travel expenses, sick leave and vacations
- Administration of the office functions such as procurement, office equipment, office systems
- Document handling and control
- Co-ordination and booking of business travel, hotel and transport arrangements
- Organising and store paperwork, documents and computer-based information
- Book and co-ordinate all international courier deliveries
- Any other ad-hoc administrative assistance required

INDIVIDUAL QHSE RESPONSIBILITIES
- To demonstrate commitment to the quality of service, including quality of records produced, aiming at meeting and exceeding customer expectations;
- To demonstrate personal commitment to protection of Health, Safety and the Environment;
- To follow company QHSE Policy, relevant operational procedures, HSE procedures and risk assessments;
- To communicate and report on any perceived non-conformances or faults in the service provided or in the companys Quality or HSE Management Systems.

QUALIFICATIONS

Essential:Must have completed a good level of education.

EXPERIENCE / SKILLS / KNOWLEDGE
- Previous experience in an administration role.
- Good working knowledge and experience of Word, Excel, PowerPoint, Outlook and internet research.
- Demonstrate an ability to effectively utilise resources, and the ability to plan, control, and take responsibility for own work.
- Demonstrate good Communication Skills, both written and verbal, along with an ability to work in a team environment, as well as a desire and ability to work unsupervised and exercise initiative to resolve potential problems.

PERSONAL QUALITIES
- Must demonstrate attention to detail in all aspects of the job role and have a desire to build and maintain high level of professional relationships with clients.
- Must be able to respond effectively to demands of a high and varied work load, tight deadlines and changing job priorities.
- Display a get it right first time positive attitude at all times.
