Facility Maintenance Supervisor

**Job Summary**:
The **Facility Maintenance Supervisor** is responsible for managing daily facility operations while supporting and coordinating projects related to renovation, fit-outs, relocations, and other facility improvement initiatives. This role requires a proactive individual who can balance operational responsibilities with project support duties, ensuring seamless facility function and successful project execution.
**Key Responsibilities**:
**1. Facility Operations & Maintenance**:
- Oversee daily maintenance activities and ensure facility systems (electrical, plumbing, safety, etc.) are functioning properly.
- Coordinate preventive maintenance schedules and emergency repairs.
- Conduct routine inspections to identify facility issues and follow through on corrective actions.
- Manage service requests and ensure timely responses through internal teams or third-party vendors.
- Maintain workplace cleanliness, safety, and functionality in all areas including common spaces, storage, and exteriors.
**2. Vendor & Contractor Coordination**:
- Liaise with service providers, vendors, and contractors for both facility-related maintenance and project works.
- Review and validate quotations, negotiate pricing, and monitor service delivery to ensure standards are met.
- Maintain records of service agreements, contractor certifications, and project timelines.
**3. Project Coordination**:
- Support planning and execution of facility-related projects such as renovations, space planning, relocations, and installations.
- Coordinate with internal departments and external contractors to ensure projects are completed on time and within budget.
- Track project milestones, update stakeholders on progress, and escalate delays or issues as needed.
- Assist in budgeting, procurement, and documentation of project-related assets and contracts.
- Liaise and network with relevant authorities and service provider such as but not limited to BOMBA, DBKL, TNB, SYABAS etc. for continuous operation and compliance.
- Ensure all project works comply with regulatory and safety standards.
**4. Health, Safety & Compliance**:
- Support the implementation of health and safety policies within the workplace.
- Conduct basic safety checks and assist with drills, audits, and inspections.
- Ensure compliance with local building codes, environmental regulations, and company safety protocols.
**5. Administration & Reporting**:
- Maintain logs and documentation for both facility maintenance and project activities.
- Prepare reports on facility performance, maintenance status, and project progress.
- Track and manage inventory of tools, equipment, supplies, and project materials.
**Special Projects (when necessary)**:
- Support the execution of special projects as assigned by the Line Manager or the Management.
- Perform ad hoc tasks as instructed by the Line Manager
- Assist in preparing reports, presentations, and other documents as needed.
**Required Skills & Qualifications**:
- Diploma or Degree in Facility Management, Building Services, Project Management, or related field
- Minimum of 2-4 years’ experience in facilities coordination and/or project administration in commercial or industrial environments.
- Familiarity with facility systems and construction or fit-out processes.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook); knowledge of project management tools (e.g., MS Project, Asana, Trello) is an advantage.
- Experience coordinating commercial renovation or fit-out projects.
- Strong coordination and organizational skills
- Excellent verbal and written communication
- Ability to manage multiple tasks with tight deadlines
- Attention to detail with a problem-solving mindset
- Ability to work with diverse teams and stakeholders
- Familiarity with industry-specific compliance and regulatory requirements is beneficial.
- Experience in handling operational and maintenance responsibilities across several locations, such as franchise chains or regional branches
Pay: RM5,000.00 - RM7,000.00 per month

- Electrical: 2 years (preferred)
