Sales Support Executive

**Role Overview**:
- The Sales Support Executive plays a vital role in providing end-to-end support to the Commercial Division. This role ensures effective communication and coordination with General Sales Agents (GSAs), supports the development and execution of group and charter business initiatives, and contributes to the smooth functioning of the sales process through administrative, operational, and analytical tasks. The position also aims to enhance customer satisfaction, streamline sales operations, and strengthen stakeholder relationships
**Key Responsibilities**:
**1. GSA Coordination & Support**:
- Act as a liaison between the airline and appointed GSAs (General Sales Agents) in all active markets.
- Monitor and follow up on GSA performance, sales activities, and adherence to contractual obligations.
- Compile and consolidate monthly sales reports from GSAs for internal review and analysis.
- Preparing sales reports, analyzing sales trends, and identifying areas for improvement.
**2. Sales Reporting & Analysis**:
- Prepare timely and accurate sales performance reports and dashboards.
- Assist in market analysis to support route performance reviews and strategic planning.
- Maintain an updated database of key accounts and sales statistics across all assigned regions.
**3. Charter & Group Business Support**
- Assist in handling charter flight requests and group booking coordination, including quotation preparation, documentation, and communication with clients.
- Liaise with relevant internal departments (e.g., Operations, Revenue Management, Finance) to facilitate charter arrangements and approvals.
- Track charter and group bookings to ensure smooth execution and customer satisfaction.
**4. Administrative & Commercial Support**
- Provide administrative assistance to the Head of Commercial, including scheduling meetings, preparing presentations, and drafting correspondence.
- Maintain proper documentation and filing of all commercial contracts, proposals, and communications.
- Sales Administration - Managing administrative tasks, including preparing sales presentations, developing marketing materials, and maintaining sales records.
**5. Cross-functional Collaboration**
- Coordinate with Marketing, Network Planning, and Finance teams for campaign tracking, sales target alignment, and pricing strategies.
- Support ad-hoc commercial projects and initiatives as assigned by the Head of Commercial.
**6. Customer Support**
- Handling customer inquiries, resolving issues, and providing excellent customer service to both existing and potential customers.
- Developing and maintaining strong relationships with customers, stakeholders, and vendors.
- Product Knowledge:
- Having a good understanding of the company's products or services to effectively assist customers and the sales team.

**SECONDARY RESPONSIBILITIES (CHARTER BUSINESS)**
**1. Flight Operations & Logistics Coordination**
- Monitor flight schedules regularly to assess aircraft availability for charter clients.
- Coordinate trip logistics including aircraft routing, customs clearance, fuel, permits, catering, handling, and FBO notifications.
- Track aircraft movements during charter flights and provide timely updates to clients and internal stakeholders.
- Maintain detailed trip records using operational checklists and ensure updates are made accurately.
**2. Client and Commercial Interaction**
- Maintain effective communication with clients regarding charter arrangements, operational status, and service delivery.
- Negotiate charter rates effectively to achieve favorable terms for the company.
- Support client satisfaction through responsive, clear, and professional interactions.
**3. Financial & Administrative Tasks**
- Coordinate invoicing and payments with clients and the Jakarta Head Office in a timely and systematic manner.
- Maintain accurate records of charter flight transactions, billing, and payment statuses.
**4.** Internal **Coordination**
- Work closely with Flight Operations and Ground Operations teams to ensure charter requirements are met.
- Communicate interdepartmentally to ensure all teams are informed of trip details and special requirements.
- Provide logístical support and updates to crew scheduling and operations departments
**5. Operational Oversight**
- Maintain oversight of aircraft operations, crew scheduling, ground operations, and charter logistics.
- Support compliance with CAAM (Civil Aviation Authority of Malaysia) and CCAR (China Civil Aviation Regulations) where applicable.
**6. General Duties**
