**About the role**
We are seeking a talented and experienced Business Administrator to join our dynamic team at ICM WOMAI TECHNOLOGY SDN. BHD. in Petaling Jaya, Selangor. In this full-time role, you will be responsible for providing essential administrative and operational support to ensure the smooth running of our business.
**What you'll be doing**
**1. Company Operations Oversight**
- Oversee the company’s overall administrative operations, ensuring a well-managed office environment, efficient workflows, and smooth day-to-day functioning.
**2. Staff Supervision and Team Coordination**
- Supervise and coordinate the performance of all departmental staff, ensuring clear role responsibilities, effective collaboration, and assisting management in optimizing manpower allocation.
**3. Government Compliance & Licensing**
- Regularly update and maintain all company licenses and permits to ensure legal compliance.
**4. Registration and Liaison with Associations/Organizations**
- Manage the company’s registration and record-keeping with various associations, chambers of commerce, and representative bodies.
- Ensure timely and complete submissions, maintaining active and compliant statuses with relevant authorities.
**5. Project Support and Cross-Departmental Coordination**
- Work closely with various project teams to provide administrative support, resource coordination, and operational assistance, ensuring smooth project execution and delivery.
**6. Sales Operations Oversight**
- Assist management in overseeing product sales and market operations, ensuring that activities comply with company policies and industry standards, while providing administrative support as needed.
**7. Business Development & Resource Support**
- Support the identification of potential business opportunities, and collect and organize market data, client information, and project updates.
- Coordinate internal and external communications, and assist in preparing business proposals.
- Provide necessary administrative and documentation support to drive business development and external collaboration.
**What we're looking for**
- Minimum 3 years of experience in a similar administrative or office operations and management role
- Strong organisational and time management skills with the ability to prioritise tasks and meet deadlines
- Adaptable and able to work independently as well as part of a team
- A keen eye for detail and a problem-solving mindset
- Business-minded with good customer service awareness; able to support business growth and project implementation.
- Competent in handling compliance filings and registrations with government or industry bodies.
- Strategic thinker with a results-oriented mindset and a drive for continuous improvement.
- Good command of Mandarin, English, and Malay, with solid written and verbal communication skills.
