Warehouse Admin Executive

Key Responsibilities:
- **Order Management**:
- Process and manage orders from customers and internal departments.
- Coordinate with warehouse staff to ensure timely picking, packing, and shipping of orders.
- Maintain accurate records of orders and ensure prompt fulfillment.
- **Stock Management**:
- Conduct regular stock counts and reconcile any discrepancies.
- Monitor and report on stock levels, assisting in restocking as necessary.
- Organize and maintain warehouse inventory for efficient operations.
- **Documentation and Record Keeping**:
- Maintain organized records of all warehouse-related documents, including orders, invoices, delivery notes, and stock records.
- Assist in preparing and filing reports related to warehouse operations and finances.
- Ensure compliance with company policies in all documentation processes.
- **Internal Administration**:
- Coordinate with HR and management to keep staff records up-to-date.
- Support internal communication and assist in resolving administrative issues within the warehouse team.
- **Liaising with B2B Customers**:
- Act as the main point of contact for B2B customers, handling inquiries and providing updates on orders and deliveries.
- Develop and maintain positive relationships with key business clients.
- Ensure prompt and professional communication to enhance customer satisfaction and business relations.
- **Communication and Updates**:
- Coordinate with relevant parties to address and follow up on any actions or responses required.
- **Ad-hoc Tasks**:
- Handle ad-hoc tasks and projects as assigned by management.
- Provide support in various areas of warehouse operations as needed.
- Flexibly adapt to the needs of the warehouse, stepping in to assist wherever required.
- **General Administrative Support**:
- Provide administrative support to the warehouse management team as needed.
- Assist in organizing meetings, preparing agendas, and taking minutes.
Qualifications:
- **Education**: Minimum SPM or equivalent. Additional qualifications in accounting, business administration, or logistics are advantageous.
- **Experience**: Previous experience in warehouse, logistics, administrative, or accounting roles is preferred.
- **Technical Skills**: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with inventory management or ERP systems.
- **Communication Skills**: Strong verbal and written communication skills in English and Bahasa Malaysia. Ability to communicate professionally with B2B customers.
- **Organizational Skills**: Excellent organizational skills, attention to detail, and the ability to manage multiple tasks effectively.
- **Problem-Solving Skills**: Capability to handle and resolve issues independently and proactively.
- **Teamwork**: Ability to work collaboratively with warehouse staff, management, and other departments.
- **Adaptability**: Flexibility to manage ad-hoc tasks and support various areas of warehouse operations as needed.
