**Job Goals / Mission**
Managing Director - Executive Secretarial support to manage the company, call for meetings,
follow up tasks and communication with management and HQ.
Management Team - Executive Secretarial support to facilitate administration
**Areas of Responsibility / Tasks**
General Management Office
- Ensure effective confidentiality of information in her possession at all times and be prepared to sign the Company Confidentiality Agreement.
- MD’s expenses claims.
- Carry out any other duties of secretarial/Personal Assistant nature not specifically mentioned above
Time Management (MD/ other managers)
- Manage MD’s appointments and Directors (both executive and non-executive) with appropriate reminders in order to ensure all meetings are scheduled in an orderly manner, allowing the MD to function effectively.
Meetings
- Arranging for periodic operational meetings and recording minutes of:
- Management Meetings
- MD’s Dialogue with the Union representatives
- Ad Hoc Confidential Meetings
Presentations
- Preparing slide presentations using MS Powerpoint, as required by the MD for Executive reporting, for customers, for presentation to visitors.
- Speech writing.
Reporting
- Board Reports on a quarterly basis
Visitors
- Preparing for visits - VIPs, Customers, Government Authorities (Visits Itineraries, Catering & venue, Photographer, Protocol, Transportation)
- Corporate Branding, Communications (Ensuring compliance with Branding and Corporate Communications guidelines, Distributing revised stationery and ensuring its correct usage)
Contact Database
- Responsible for updating and distributing the company Telephone Directory
Public Relations
- Screen calls to the MD from unknown persons.
- Alert Management to unusual enquiries which would pose any risk to the business or company security.
Local Privacy
- Local Privacy Officer (LPO) plays supporting role in assisting with implementation and compliance with the G&D Group data protection standards (set by Group Privacy Officer) as well as for compliance with local data regulations.
**Skills**
- A Diploma of Private Secretaryship/ Office Administration
- More than 3 years of experience
- Advanced in MS Word, PowerPoint, Office and Lotus Note.
- Good time management and fluent business speaking in English and Malay.
- Licensed/ Certified company secretory will be an asset.
**Job Type**: Permanent
Pay: Up to RM5,000.00 per month
