Estimator and Admin Support Specialist

**THE OPPORTUNITY**

Our client is an Australian-owned company that specialises in window and soft furnishings. Their goal is to create a positive, creative and enjoyable workplace by engaging staff who are passionate and motivated.

As an Estimator and Administrative Support Specialist, you'll assist the sales team in crafting quotation proposals for tenders or projects, identifying all project-related costs. This role reports to the Head of Sales and the Estimator based in Australia.

**KEY RESPONSIBILITIES**
- **_Manage Estimating Inbox:_**
- Manage all incoming mail to Estimating inbox ensuring timely responses to Tender invitations or forward correspondence to the Projects or Sales team.
- **Prioritize Tenders**:

- Establish priorities for tender invitations working with the Head Estimator and Head of Sales line with due dates.
- Liaise with Builders Estimators.
- Take part in weekly WIP meetings with the Head Estimator and Head of Sales and maintain the calendar up to date with the workload.
- **Construction Drawing Estimation**:

- Utilize construction drawings and specifications to accurately estimate and update the materials, labour, and costs required.
- Calculate quantities, dimensions, and specifications based on project requirements.
- Clarify the scope of work in a manner that is easily conveyed to the project manager and management team for review.
- **Analyze labour, material, and time requirements for a project**:

- Identify labour, material, and time requirements by studying proposals, floor plan specifications, and related documents.
- Forecast on costs including travel expenses, staged work or speciality equipment such as scaffolds or Scissor Lifts.
- **Present cost estimates to the manager**:

- Collate costing proposals using templates provided, detailing all the costs going into a project.
- Present proposal to management with clear detail of how the project has been costed, for review and sign off.
- **Returnable Documents Management**
- Prepare and manage all returnable documents necessary for project bids and contracts on time.
- Maintain organized records of all returnable documents for future reference.
- **Follow up proposal**
- Assist with Quote follow-ups weekly in line with the Head of Sales and head Estimator.
- Seek out Awarded builders' details from Estimate One or other means necessary and update the Filemaker system with details.
- Collaborate with the Head of Sales and the Head Estimator to pursue the opportunity to provide final pricing to the awarded builder.
- **Administrative Assistance**
- Provide administrative support to the sales team.
- Coordinate with internal and external stakeholders to facilitate effective communication and document exchange.
- Seek out all tendering builders for each project.

**KEY REQUIREMENTS**
- A minimum of 5 years experience in estimating and team support roles
- Excellent attention to detail
- Fluent and clear English communications
- Willingness to learn, contribute to initiatives and do a great job
- Experienced in working with different stakeholders, especially suppliers, estimators and the sales team
- Previous experience in construction, soft furnishings, window solutions or related fields is highly regarded
