**Job Description**:
The **Recruitment Program Coordinator** will join a fabulous team of professionals working in a fast-paced, process and partnership-driven team environment. They will facilitate and manage various processes (client specific) within the contingent/contract (Haken) worker lifecycle from onboarding, timesheet management, invoicing, and stakeholder management, through to off-boarding. The Recruitment Coordinator also provides first-level customer support to Hiring Managers and Suppliers (Recruitment Agencies).
**Responsibilities include, but are not limited to**:
Offer Management & Onboarding
- Monitor progress and completion of onboarding activities, escalating as needed
- Validate onboarding documents are in line with Global Staff Screening Standards to ensure full compliance and address discrepancies as needed
- Systems updated in real time and without error - ensures all position details are correct and documented in VMS
Worker Management and Governance
- Ensures all assignment data is maintained and updated as needed in VMS (assignment duration, bill rates, locations etc.)
- Work order start date Monitoring and Updating, On-boarding documents uploaded, WO activated.
- Manage work order revisions, extensions and transfer of resources
- Leverages VMS reporting to proactively reach out to Hiring Managers on assignments approaching end dates.
- Support with Service Now requests for ad-hoc enquiries and liaise with relevant stakeholders.
Time & Expense Management
- Ensure all time and expenses are entered and approved by all parties by the Monthly required deadline
- 100% Supplier timesheets submitted - this is the goal
Offboarding
- Manage offboarding activities to ensure data quality is reflected in Fieldglass or Beeline (VMS = Vendor Management System).
**Qualifications**:
- 1-2 years in recruitment, staffing, administration/HR/recruitment coordination, facilitator of vendor management processes, and/or MSP experience. Those with administration/customer service experience who can read, write and speak in Japanese - at JLPT N1/N2 level (and English), looking to get into HR/recruitment will also be considered
- Excellent analytical and problem-solving skills
- A meticulous eye for detail, organized, with proof of execution and great stakeholder management capabilities
- Excellent documentation and follow-up skills
- Strong determination to impact performance
- Time management, self-motivated and perseverance
- Excellent customer service skills with an aptitude for administration and support
- Excellent verbal and written communication skills
- Someone who is determined & outgoing, yet professional, curious by nature, and processes driven, yet understands the importance of adding value and partnership in HR/recruitment
- Bachelor’s degree
- MS Office/Tools - intermediate to advanced skills
- VMS or related systems/tools or someone who is an efficient learner and quick to pick up technologies, resources, and processes.
