Account Receivable Executive

1. To be fully conversant with the credit policy and procedures.
2. To ensure that all transfers to city ledger through Night and Income Auditors do agree with the control account.
3. To ensure the accuracy of all charges and credits posted to the individual accounts.
4. To process invoices/folios promptly and to render interim and monthly statements and follow up letters on a timely basis.
5. To ensure that the posting of the invoices and settlements is up-to-date and that payments are correctly aged.
6. To ensure that returned cheques are recorded in the city ledger and that unapplied credit balances are reconciled and that mínimal variances in payments are cleared at the time of receipt.
7. To reconcile accounts receivable trial balances with the general ledger control account each month and to ensure accurate aging.
8. To monitor and maintain all support of advance deposits and to balance them to the general ledger at month-end.
9. To answer clients’ queries relative to invoices promptly, professionally and courteously. The Credit Officer shall handle correspondence to such queries.
10. To liaise with the Credit Officer at all times regarding guest queries, credit card charge backs and open balances and general credit terms.
11. To maintain one up-to-date alphabetical open accounts’ file for joint use by both Accounts Receivable and Credit Officer.
12. To ensure that group billings are completed as per contract.
13. To ensure that room rate charges to travel agents are in accordance with the contract.
14. To initiate payment of travel agents’ commissions on the basis of verified computer reports from Fidelio.
15. The company requires that you will not (either during or after his/her employment) without the hotel’s written consent divulge any information concerning the hotel or any associated hotel or any their dealings, transactions or affairs which may come to his/her knowledge during or in the course of his/her employment with the Grand Alora Hotel.
16. To have a complete understanding of the hotel’s Associate Handbook and to adhere to the regulations contained therein.
17. To have a complete understanding of the hotel’s policy relating to fire, safety and health.
18. To respond to changes in departmental functions as dictated by the industry, the company or the hotel.
19. Any other duties as may be assigned form time to time.
