**Job Overview**:
Personal Assistant (PA) will provide comprehensive administrative support to Managing Director by managing schedules, communications, and daily tasks to help ensure smooth operations and efficient time management. This role requires a highly organized and adaptable individual who can handle a variety of tasks with discretion and professionalism.
**Key Responsibilities**:
**Calendar and Schedule Management**
- Organize and manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prioritize and handle all incoming requests for meetings and appointments.
- Coordinate with internal and external contacts to ensure timely and seamless scheduling.
**Communication and Correspondence**
- Draft, proofread, and format professional correspondence, reports, and presentations.
- Liaise with clients, partners, and other stakeholders as needed.
**Travel and Event Planning**
- Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Prepare detailed travel and meeting itineraries, ensuring all necessary documents are prepared and available.
- Plan and coordinate events, meetings, and special projects as requested.
**Document and File Management**
- Organize and maintain electronic and paper files, ensuring all documents are easily accessible.
- Create, update, and manage databases, records, and other documentation.
- Conduct research, compile data, and prepare documents for review.
**Personal Errands and Tasks** (if applicable)
- Handle personal tasks, including shopping, reservations, and event arrangements as requested.
- Manage expenses and process reimbursements.
- Ensure confidentiality in all personal matters.
**Project Management and Support**
- Assist in the management of specific projects, including tracking deadlines and managing deliverables.
- Act as a point of contact for team members, clients, and stakeholders for specific projects.
**Miscellaneous Administrative Support**
- Take meeting minutes, prepare agendas, and distribute meeting notes as needed.
- Anticipate needs and provide proactive support to enhance productivity and efficiency.
- Perform other ad hoc tasks to support daily operations.
**Qualifications**:
**Education**: Bachelor’s degree in Business Administration, Communications, or a related field (preferred but not required).
**Experience**: 2+ years of experience as a Personal Assistant
**Can Drive**:Have a driver's license
**Skills**:
- Strong organizational and time-management abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with scheduling software.
- High level of discretion and confidentiality.
- Adaptability and problem-solving skills.
**Work Environment**:
- Typically office-based, with potential for remote work depending on the executive's needs.
- Occasional travel may be required.
- Flexibility to work extended hours if needed.
Pay: From RM2,200.00 per month
Schedule:
- Holidays
- Monday to Friday
- On call
**Education**:
- Diploma/Advanced Diploma (preferred)
**Experience**:
- Personal Assistant: 1 year (preferred)
