Administrator, Client Service Representative

**What is the opportunity?**
RBC Investor & Treasury Services Malaysia is a processing centre of operational excellence supporting 10 countries across three geographical time zones. The country employs a Global Operating Model to maximize efficiencies across times zones and supports a 24/5 operational capability.
As an Administrator, you will be responsible to prepare and process Shareholder Services transactions as per defined procedures, whilst meeting Client service level agreements & team KPI’s /KQI’s, responsible for accuracy and punctuality of data sent to Fund Managers and work in collaboration/interact with other teams within the Client Service Representative team, Shareholder Services department and other teams within the company.

**What will you do?**
- **
Automated Cash**:
- Manage the transfer of funds and liquidity of Shareholder Services operating bank accounts, accurate processing of daily automated cash process, manual payments and manual payment files including identify & clear all transaction reconciliation items on bank accounts, dealing with any issues, returned and outstanding payments.
- **
Periodic Processes** - Generate distributions, process payment and ensure timely reporting to client as well as generate the Regular Savings Plan and process direct debit file
- **
Electronic Dealing** - processing and checking of function dependent on file uploads and extracts to ensure that all deadlines are met, dealing any errors and exceptions of dependent file uploads and extracts as well as providing clear and concise internal communication where necessary.
- **Manual Payment**:
- Manage the transfer of funds and liquidity of Shareholder Services operating bank accounts, accurate processing of daily automated cash process, manual payments and manual payment files as well as identify & clear all transaction reconciliation items on bank accounts, dealing with any issues, returned and outstanding payments
- **
Queries - **provide high quality and professional client service to ensure RBC Investor & Treasury Services Values are maintained, providing clear and concise internal communication where and when necessary to the relevant teams/persons.
- **
Policy & Procedure Review** - Ensure all deadlines are met with defined benchmark, all documents are carefully reviewed capturing all instructions & information accurately, review and monitor the client workflow queue to ensure all items are actioned with SLA and maintain the integrity of data within Sara and Documentum.
- **
Cross Training** - ensure ongoing productivity especially when less staff available (holiday period, sick leave, emergency leave) and at times of high volumes (such as distribution periods) (by providing back-up relief for staff who are absent, on leave or at times of high volume) including complete any necessary or recommended internal or external structured training programs and modules in timely manner.
**What do you need to succeed?**
**Must-have**
- Diploma / Degree in Business, Finance or related discipline preferred.
- Minimum 2-3 years of operations experience in Transfer Agency or financial services industry in an operations environment.
- Interpersonal and networking skills with a proven track record of dealing with clients, senior management, colleagues and staff.
- Ability to complete ad-hoc tasks and project deliverables by deadlines and achieve performance targets set.
- Flexible and adaptable to different work related situations.
**Nice-to-have**
- Self-motivated and able to work under pressure in a dynamic and fast paced environment.
- Ability to multitask, work with mínimal local supervision day to day.
- Strong in PC skills.
- Excellent time management capabilities and ability to work under pressure.
