**Job Description: Purchasing Assistant / Junior Purchasing Assistant**
**Position Summary**: The Purchasing Assistant or Junior Purchasing Assistant is responsible for supporting the purchasing department by performing administrative tasks, maintaining inventory levels, and liaising with suppliers to ensure timely and cost-effective procurement of goods and services. This role requires strong organizational skills, attention to detail, and effective communication abilities.
**Key Responsibilities**:
**1. Procurement Support**:
- Assist in the preparation and processing of purchase orders and requisitions.
- Source and evaluate suppliers based on price, quality, and delivery timelines.
- Obtain and compare quotations from multiple suppliers to secure the best deals.
**2. Supplier Management**:
- Maintain relationships with existing suppliers and identify new ones.
- Monitor supplier performance and resolve any issues related to quality, delivery, or service.
- Follow up on orders to ensure timely delivery.
**3. Inventory Management**:
- Monitor stock levels and assist in maintaining optimal inventory levels.
- Coordinate with warehouse and other departments to ensure the availability of required materials.
**4. Documentation and Reporting**:
- Maintain accurate records of purchase orders, supplier agreements, and invoices.
- Prepare reports on purchasing activities, including cost analysis and delivery timelines.
- Ensure documentation compliance with company policies and procurement procedures.
**5. Market Research**:
- Conduct market research to identify trends, alternative products, and better purchasing options.
**6. Cross-Departmental Coordination**:
- Collaborate with departments such as supply chain, sales, and finance to understand procurement requirements.
- Address and resolve procurement-related queries from internal teams.
**7. Compliance**:
- Ensure that all purchasing activities comply with company policies and ethical guidelines.
**Required Qualifications**:
**Education**:
- Diploma or Bachelor’s degree in Business, Supply Chain Management, or a related field.
**Experience**:
- Minimum of 1-2 years of experience in purchasing or procurement is preferred.
**Skills**:
- Strong negotiation and communication skills.
- Knowledge of procurement software is an advantage.
- Ability to handle multiple tasks and meet deadlines.
- High level of attention to detail and accuracy.
**Competencies**:
- Problem-solving skills.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team.
Pay: RM1,500.00 - RM2,000.00 per month
