**JOB DESCRIPTION**
**PERSONAL ASSISTANT CUM ADMIN**
1. Manage and coordinate the Director’s daily calendar, including scheduling of meetings, appointments, and reminders, while ensuring proper preparation and time management.
3. Draft, edit, and prepare various documents such as letters, reports, presentation materials, and meeting notes.
4. Liaise effectively with internal staff, clients, vendors, and external parties on matters as instructed by the Director.
5. Act as an intermediary between the Director and employees, clients, external stakeholders, or service providers to ensure clear communication and smooth coordination.
6. Organise and attend meetings when required, including preparing necessary documentation, taking accurate minutes, and following up on key action points.
7. Coordinate business-related travel and logistics, including booking flights, transport, accommodation, and preparing detailed itineraries.
8. Manage logístical arrangements for company events, site visits, or other Director-related engagements.
9. Maintain and regularly update the company’s official website to ensure information remains accurate, relevant, and professional.
10. Manage the company’s and Director’s professional social media presence, particularly LinkedIn, including posting updates, responding to messages, and monitoring engagement.
11. Assist in handling matters related to external associations or organisations that the Director is involved in, such as preparing required documents, coordinating attendance, and following up on administrative tasks.
12. Take responsibility for business or operational matters that the Director is unable to personally attend to, ensuring prompt and effective handling.
13. Provide assistance in personal matters or errands as required, particularly those that the Director is unable to entertain due to time constraints or scheduling conflicts.
14. Demonstrate the ability to work independently with mínimal supervision, while ensuring responsibilities are carried out efficiently and accurately.
15. Be available and ready to perform duties at any time, including outside of normal working hours, depending on the urgency or importance of matters assigned.
16. Maintain the highest level of confidentiality, discretion, and professionalism in handling sensitive information and company matters.
17. Undertake any other duties as assigned from time to time to support the Director’s role and overall business operations.
**Minimum Qualifications**:
- Diploma or Degree in Business Administration, Secretarial Studies, Management, or related fields.
- At least **1-2 years of experience** in a similar PA or Admin role (fresh graduates with strong interpersonal skills may be considered).
**Skills & Competencies**:
- Strong **written and verbal communication skills** in Bahasa Malaysia and English.
- Highly **organised**, able to multitask, and manage time effectively under pressure.
- Excellent **interpersonal and coordination skills** - must be proactive in following up and updating stakeholders.
- Good working knowledge of **Microsoft Office (Word, Excel, Outlook, PowerPoint)**.
- Basic knowledge of **office administration and filing systems**.

- Trustworthy, discreet, and able to handle **confidential information** professionally.
- **Fast learner** and able to adapt to a dynamic working environment.
- **Responsive and alert** at all times, especially during urgent tasks and communication with management.
- Willing to be **available after office hours** if needed.
- Able to work both independently and as part of a team.
**Additional Advantage (Preferred but not required)**:
- Familiar with handling **LinkedIn and professional social media accounts**.
- Prior experience assisting Directors or C-level executives.
- Has own transport and able to travel when required.
**Job Types**: Full-time, Permanent
Pay: RM2,500.00 - RM3,500.00 per month
