**Role Overview**

**The QS cum Executive Admin**will support end-to-end retail renovation and fit-out projects, including cost management, contract administration, supplier coordination, documentation, and project administrative tasks. The role ensures project cost efficiency, smooth documentation flow, and timely execution according to company standards and brand requirements.

**Key Responsibilities**

**1. Quantity Surveying & Cost Control**
- Prepare, review, and update **BOQ, cost estimates, tender documents, and CAPEX** for retail fit-out and renovation projects
- Source, evaluate, and compare **supplier/contractor quotations** for pricing, scope, and compliance
- Administer **tender processes**, including issuance, clarification, comparison sheets, and award recommendation
- Monitor **project cost vs. budget**, including cost control, variation order tracking, and final accounts
- Coordinate with contractors for **progress claims, VO submissions, and payment certifications**:

- Prepare **GC service agreement letters** and ensure alignment with awarded scope, commercial terms, and company policies
- Evaluate **cost breakdowns** and ensure competitive procurement while maintaining required quality standards

**2. Project Coordination & Support**
- Work closely with **designers, consultants, vendors, contractors, and internal stakeholders** to support project milestones
- Assist in **project scheduling, site coordination updates, and project meetings**:

- Track and follow up on **renovation approvals, permits, defects, handovers, and closure activities**:

- Maintain and update **project trackers, tender trackers, and budget records**

**3. Administrative & Documentation Duties**
- Prepare official letters, meeting minutes, proposals, service agreements, and management reports
- Manage contract documentation, LPO/PO issuance, invoice processing, and filing
- Maintain proper document control for drawings, approvals, and correspondence
- Coordinate site access, store visits, logistics, and project briefing arrangements

**Requirements**:

- Diploma/Degree in **Quantity Surveying, Construction Management, Interior Design, Architecture**, or equivalent
- Minimum **2-3 years’ experience** in QS, fit-out, construction, retail renovation, or related field
- Strong knowledge of **BOQ, tender process, cost evaluation, and contract administration**:

- Proficient in **MS Office (Excel, Word, PowerPoint)**; CAD knowledge is an added advantage
- Strong organization, documentation, and multi-tasking skills
- Good command of English; able to liaise with contractors and consultants
- Detail-oriented, analytical, and able to work under tight timelines

**Job Types**: Full-time, Permanent

Pay: RM3,500.00 - RM3,800.00 per month
