Admin Corporate Executive

**Key Responsibilities**:
- **SOP Compliance & Customer Service**:Ensure all SOPs are being properly followed across all operations. Continuously identify opportunities to improve customer service and refine SOPs.
- **Reporting & Meetings**:Prepare and analyze key reports, including Customer Retention metrics. Organize and lead weekly operational meetings to discuss performance and improvements.
- **Sales Target Monitoring**: Track weekly sales targets for all outlets and update progress in the group chat every Monday.
- **Audits & Inspections**: Conduct twice-daily audits and inspections at each NSS outlet to ensure compliance with SOPs. Prepare and submit a weekly inspection report, summarizing key SOP observations and areas of improvement.
- **Administrative & Billing Oversight**: Review Job Sheets and billing/cash sales invoices for all outlets to ensure SOP adherence. Check daily TQ and Appointment SMS, Follow-Up Calls, and ensure WhatsApp messages are sent consistently to customers.
- **Stock & Inventory Management**: Manage monthly purchase, maintenance, and stock tracking for sundries, stationeries, and printing items. Source competitively priced goods and coordinate purchases accordingly.
- **Equipment Audit**: Conduct a monthly audit of workshop toolboxes and equipment across all outlets.
- **Staff & Event Coordination**: Organize and coordinate internal events including Corporate functions, Birthday Celebrations, Company Dinners, Staff Sports Engagement, and Trainings. Arrange decorations for major festivals (e.g. Hari Raya, Chinese New Year, Christmas).
- **Online Sales & Customer Delivery**: Issue billings through the VSS system for Shopee and Lazada. Ensure accurate and timely delivery of goods to customers.
- **Performance Monitoring**: Monitor weekly Google Review performance for each outlet and include findings in reports. Review daily Google Leads/Ads via WhatsApp for each outlet and update reporting metrics.
- **Platform Compliance**: Regularly check the AutoX3 platform to ensure outlet SOP compliance.
- **HR Support & New Staff Onboarding**: Assist HR in providing SOP briefings to new staff (workshop and frontline).
- **Incentives & Sales Analysis**: Calculate Service Advisor quotations, closing rates, sales figures, and weekly incentive amounts—ensuring accuracy and consistency.
- **Customer Support**: Provide backup support at the frontline counter, including handling customer inquiries and correspondence via message or phone.
- **Ad Hoc Responsibilities**: Fulfill other tasks and responsibilities as assigned by the management team.
**Requirements**:
- Minimum 3 years work experience.
- IT savvy and proficient using social media.
- Good planning and time management skills.
- Good written and oral communication in English.
Pay: RM3,500.00 - RM3,800.00 per month
