To support efficient office operations while providing administrative and coordination support for proposals, tenders, projects, and operational activities. This role ensures smooth execution of administrative, project, and day-to-day operational functions across departments.

**Key Responsibilities: Office Administration**:

- Manage and coordinate daily office administrative tasks.
- Maintain organized and up-to-date filing systems for records and correspondence.
- Monitor and maintain office supplies, equipment, and service contracts.
- Schedule meetings, manage calendars, and arrange logistics for appointments and events.
- Assist with travel arrangements and hotel bookings for team members.
- Support HR and finance functions with document processing and filing.
- Ensure a professional and orderly office environment and reception.

**Proposal, Tender & Project Support**:

- Assist in drafting, formatting, and assembling documents for proposals and tender submissions.
- Liaise with internal departments to compile required data, certificates, and supporting materials.
- Maintain and update tender databases and monitor submission deadlines.
- Support project documentation including reports, tracking sheets, and meeting minutes.
- Help coordinate internal resources and timelines for project tasks.
- Communicate with external consultants, vendors, and clients as required.

**Operations Support**:

- Assist the operations team in daily coordination and tracking of work progress.
- Prepare and update operational reports, logs, and records.
- Help monitor project deliverables, timelines, and operational milestones.
- Coordinate internal resources and logistics for ongoing operations or field activities.
- Follow up on work orders, vendor assignments, and supply chain support.
- Assist with incident reports, site documentation, and compliance tracking.
- Support in coordinating equipment, workforce deployment, and material deliveries (if applicable).
- Contribute to process improvements and ensure alignment with operational SOPs.

**Requirements**:

- **Education**: Diploma or Bachelor's degree in Business Administration, Operations Management, or related field.
- **Experience**: 1-3 years of relevant experience in administration, operations, or project support.
- **Skills**:

- Strong administrative, coordination, and multitasking skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Familiarity with project or operational tracking tools is an advantage.
- Good communication and interpersonal skills.
- High attention to detail, accuracy, and confidentiality.
