**Job Overview**:
The Operation Coordinator will report to Director of Operations, plays a key role in driving business operations, ensuring that projects are completed on time, within budget, and meet the highest quality standards.

**Key Responsibilities**:
**Operations & Project Alignment**
- Work closely with cross-functional teams (Product, Project Management, Technical, and Support) to coordinate and streamline operational activities.
- Support the Director of Operations in implementing and refining internal processes to improve efficiency, productivity, and quality.
- Monitor project timelines and deliverables to ensure alignment with strategic objectives and organizational goals.
- Assist with resource allocation, including personnel, tools, equipment, and materials to maximize efficiency.

**Client & Stakeholder Management**
- Act as a primary liaison between clients and the internal team, ensuring clear, timely, and professional communication.
- Facilitate meetings, gather requirements, and provide updates to both external and internal stakeholders.
- Address client concerns proactively, propose solutions, and collaborate with internal teams to ensure successful outcomes.
- Build and maintain positive relationships with clients, partners, and key stakeholders through service excellence and transparent communication.

**Project Planning, Risk Management & Execution**
- Develop comprehensive project plans outlining project scope, objectives, timelines, and resource requirements.
- Create and maintain project schedules, allocate tasks, and ensure timely delivery of project milestones.
- Monitor and control project budgets, ensuring financial efficiency and adherence to allocated resources.
- Identify potential risks and issues and develop mitigation strategies and contingency plans to minimize project disruption.
- Implement corrective actions where necessary to ensure project success and adherence to client and company standards.
- Conduct post-project evaluations to capture lessons learned and identify areas for continuous improvement.
- Work closely with software developers, designers, and technical teams to ensure the timely delivery of high-quality product releases.

**Team Leadership & Communication**
- Build, lead, and motivate cross-functional project teams, including software developers and technical team.
- Maintain open communication channels within the project team and with external stakeholders to ensure alignment and transparency.
- Inspire and guide team members to achieve project goals while fostering a collaborative and solution-oriented environment.
- Provide regular updates on project and product progress, highlighting key milestones, challenges, and achievements.

**Customer, Supplier & Vendor Relations**
- Engage with suppliers to manage procurement of materials, equipment, and services required for project and operational needs.
- Coordinate with vendors for infrastructure support, licensing, and office tools to maintain smooth business operations.
- Work closely with clients to gather requirements, provide project updates, and ensure satisfaction throughout the project lifecycle.
- Address supplier or client issues and concerns promptly, maintaining strong professional relationships.

**Reporting & Decision Support**
- Prepare reports, presentations, and analysis for the Director of Operations to support decision-making.
- Track key operational metrics and suggest improvements where necessary.
- Provide timely insights and recommendations to support strategic planning and operational decision-making.

**Documentation & Process Improvement**
- Maintain accurate and up-to-date records of project documentation, Standard Operating Procedures (SOPs), meeting minutes, and client communications.
- Evaluate current practices, identify gaps or inefficiencies, and propose process enhancements to improve team performance, productivity, and client satisfaction.
- Assist in onboarding new team members by providing operational orientation, training resources, and process documentation.

**Administrative & Support Functions**
- Support the Director of Operations in managing scheduling, documentation, correspondence, and coordination across departments.
- Assist with procurement of equipment, software licenses, and operational tools required for daily business functions.
- Ensure compliance with internal policies, regulatory requirements, and quality assurance standards.
- Contribute to organizational projects, initiatives, and continuous improvement efforts as required.
- Perform other duties as assigned to support overall business objectives.

**Job Types**: Full-time, Permanent

Pay: RM4,000.00 - RM6,000.00 per month
