**SUMMARY**:
The Sales & Events Coordinator is tasked to support the Sales and Marketing Department in providing administrative support for all administrative functions as required by the various Senior / Sales Manager, Assistant Sales Managers, Sales Executive and Event Executive at the same time to build strong relationships in delivery of accurate and timely information between the Sales & Marketing Department and all other Hotel Departments. The Sales & Event Coordinator will assist and support the Sales Team, to ensure all administration is efficiently processed efficiently and contributes towards the Sales Team achieving all Department Goals and Sales Targets.
**DUTIES AND RESPONSIBILITIES**:
A) All Administrative functions within the Sales & Marketing Department, including:
Represent the Hotel to expected standards of professionalism, courtesy.
Receiving of visitors to Sales Office.
Responsible for recording all incoming and outgoing correspondence.
Handle bookings, confirmations, and proper distribution of material to Sales & Marketing department and all other Departments as required.
Maintain inventories of necessary forms, stationery, and office supply.
Have good working knowledge of Opera Sales & Catering, and PMS to keep up to date with available C&E and Rooms Inventory.
Very Strong and accurate knowledge of all Hotels products, facilities.
Excellent knowledge of event room capacities, menus, layouts etc.
Excellent knowledge of various rates structures for events, rooms, etc.
Prepare customized proposals based on clients’ requirements (at time of writing proposals are to be sent within the same day of receipt of enquiry).
Follow up with clients, on account or group requirements, gain commitment, and prepare corporate rate or group/event contracts.
Support and assist the Sales Team where applicable, to collect deposit and finalize all event and room accommodation arrangements.
Ensure credit policy is adhered to for all bookings and that all payments are received in the correct timeframe. Highlight every issue immediately to your supervisor.
Ensure clear and timely communication with all departments on groups, events and special guest requests.
Organizes and partakes in lead generation activities such as Sales Blitz and telemarketing.
Submit a weekly review of all sales calls & recap sheets.
Ensure that the Sales Office premises are well maintained with the respect to cleanliness and safety.
B) Assist with the sales efforts of the department, including:
In the absence of other Sales Personnel, provide explanations of hotel accommodations and services, and secure information on the requirements of the prospective client.
Conduct property tours in the absence, or at the request of the Senior Sales Manager, Sales Manager, Assistant Sales Manager, Sales Executive and Event Executive.
Handle all inside sales and customer requests to effect interdepartmental efficiency.
C) Assisting as required in the development of new business by:
Maintain current and thorough information on the hotel’s facilities and services.
Attending regular or all Sales & Marketing meetings and taking the Minutes of these meetings.
Completing any special projects requested by Management or by the Head of Sales & Marketing.
Efficiently carry out any additional requests from management.
