**DESCRIPTION OF THE ROLE**:
This position will be responsible for managing the HR function within Malaysia and will partner with various client groups to provide expert HR advice and deliver value enhancing HR service across the business.
Areas of focus of this role will include General HR Support, Recruitment, Employee Engagement, Employee Health & Safety. Additionally, the role will play an integral part to the implementation and roll out of HR projects, introducing appropriate policies and procedures.
**DUTIES AND RESPONSIBILITIES**
**1. GENERAL HR SUPPORT**
- Preparing and issuing of LOA and Employment Contracts
- Conducting HR Induction for all new starters in the absence of HRM and issuance of Onboarding Starter Kit
- Coordinating & compiling with the applicant on the visa documents for verification
- Coordinating with agent on paperwork
- Issuance of HR documents
- Certification of Employment
- Employee Reference Letters (Employment verification/bank opening/etc)
- Acceptance of resignation
- Minor Warnings
- Confirmation/Extension of Probation letters
**2. RECRUITMENT & SELECTION**
- To coordinate, negotiate and liaise with employment and advertising agency on service fee and advertisement for recruitment
- To monitor on staff retirement and to partner with HOD’s for backfills
- To update monthly vacancy list for the site
- To source for vendors that can support in manpower supply for warehouse
- To coordinate / liaise with universities and colleges for Internship program
- Select appropriate sourcing strategies for roles i.e. advertising/careers website/social networking opportunities/agencies
- Develop creative ways of attracting and recruiting new employees
**3. EMPLOYEE ENGAGEMENTS**
- Create and maintain a rapport with employees at all levels in order to build a relationship where employees approach HR for advice and assistance
- To collaborate with HOD’s on staff activities (HQ & Retail)
- To collaborate with HRM on Bata Children Program
- To support global mobility / expatriate / foreign workers affairs in terms of visa and onboarding
- To support HRM on all aspects of employee relations, performance and redundancy issues
- To update / maintain BataMe portal for monthly new hires/resignations, news flash
**4. ENVIRONMENTAL HEALTH AND SAFETY (EHS)**
- Function as the EHS Secretary
- To support HRM in coordinating the quarterly Health & Safety Committee Meeting
- To record minutes in the Health & Safety Committee meeting
- To update the monthly EHS report required by EHS global team
- To follow up and update the follow ups based on EHS audit outcome
**5. BUSINESS PARTNERING AND HR ADVISORY**
- Act as an initial point of contact for any HR queries for employees and managers/supervisors up to middle management level
- Engage and build effective working relationships and trust with relevant stakeholders and senior managers to ensure the provision of proactive support and effective partnership
- Demonstrate HR expertise and knowledge of processes in Recruitment, Employee Engagement & EHS
- Support HRM pro-actively during non-peak season (low recruitment activity period)
- Support HRM to carry out exit interviews
- Support HRM with drafting of HR letters
- Update employee life cycle trackers to pro-actively monitor dates and actions (eg return of contracts, probations, end of fixed term contracts etc)
- To provide support in sourcing for vendors for security / cleaners
- To ensure a safe working environment for all employees in compliance with the Occupational Safety and Health Act
**6. GENERAL**
- Manage ad hoc project work as requested by line managers and management in support of local and global initiatives (eg talent acquisition, employee engagement activities, Sustainability programs)
- Work closely with the other members of the HR team to provide a high level of service to the business as well as other areas of the HR department
- Provide a friendly, helpful and proactive support to the business.
- Ensure all queries are turned round or passed on the appropriate individual swiftly and effectively
- Contribute to the continuous improvement of HR systems and practices and maintenance of data integrity
**Experience and Qualifications**
- Extensive experience in working as an HR Administrator or HR Executive, with significant experience in general HR functions in recruitment, staff activity and HR administration.
- Experience working in the retail/commercial sector would be advantageous
- Demonstrated understanding of Malaysian understanding of employment law and HR best practice
- Degree or Master’s in Human Resources or related field
**Salary**: RM3,000.00 - RM4,500.00 per month
