**Job Title -**Executive, Budget Admin & Procurement Support
**Job Purpose**
To support the organization’s financial planning, procurement, and administrative activities. This role ensures accurate budgeting, cost tracking, procurement coordination, and compliance with internal controls and purchasing policies. The position plays a vital role in vendor communication, data consolidation, and purchase documentation management.
**Key Responsibilities**
**Budget Administration**
- Assist in the preparation, consolidation, and tracking of departmental budgets and forecasts.
- Monitor actual expenses against budget and report variances to relevant stakeholders.
- Maintain up-to-date records of budget allocations, revisions, and utilizations.
- Coordinate with finance and department heads to ensure financial compliance and timely reporting.
**Procurement Support**
- Prepare and process Purchase Requisitions (PR), Purchase Orders (PO), and related documentation.
- Liaise with vendors, suppliers, and internal teams for quotations, procurement follow-ups, and deliveries.
- Assist in vendor onboarding and maintain an up-to-date vendor database.
- Ensure compliance with procurement policies, audit requirements, and internal controls.
**Administrative Coordination**
- Maintain organized records of procurement transactions, budget files, and audit trails.
- Support in contract and service agreement tracking and renewals.
- Assist in tender and RFQ coordination processes as needed.
- Provide ad hoc administrative support to procurement, finance, or project teams.
**Key Skills & Competencies**
- Strong attention to detail and numerical accuracy.
- Proficient in Microsoft Excel, PowerPoint, and finance-related tools or ERP systems (e.g., SAP, Oracle, Microsoft Dynamics).
- Good written and verbal communication skills.
- Ability to manage multiple tasks and deadlines effectively.
- Basic knowledge of procurement, budgeting, and vendor management processes.
**Qualifications & Experience**
- Degree/Diploma in Business Administration, Finance, Accounting, Procurement, or equivalent.
- 1-3 years of experience in budget or procurement support roles.
- Familiarity with financial systems and documentation processes.
- Prior experience in shared services, IT, or corporate finance/procurement is an advantage.
Pay: RM5,000.00 - RM5,500.00 per month
**Experience**:
- ERP systems (e.g., SAP, Oracle, Microsoft Dynamics).: 1 year (required)
- IT budget or procurement support roles.: 1 year (required)
