Job Title: Registrar
Reports To: Rector / BOG
Location: Private University (Mantin, Malaysia)
Key Responsibilities
1. Academic Records & Student Administration
- Oversee the integrity, accuracy, and confidentiality of all student records and academic data.
- Manage student registration, enrolment, withdrawals, and graduation processes.
- Supervise the Student Information System (SIS) and Learning Management System (LMS) across all faculties.
2. Accreditation & Regulatory Compliance
- Ensure full compliance with MQA, KPT, and relevant professional bodies:
- MMC for Medicine, LJM for Nursing, ACCA for Accounting
- Legal accreditation bodies for Law programs
- Engineering Council, Oil & Gas regulatory bodies, and TVET standards
- Lead documentation and submission for MQA/PA, MQA/FA, and reaccreditation cycles.
- Monitor syllabus validity and coordinate reactivation or revision in line with MQA’s 5-year cycle.
3. Curriculum & Syllabus Oversight
- Maintain and monitor syllabi across all programs including:
- IT, Artificial Intelligence, Mathematics, Data Science
- Medicine, Nursing, Law, Business, Accounting
- Engineering, Oil & Gas, Hotel Management
- TVET, APEL (A, C, Q), HND, and micro-credential programs
- Coordinate curriculum reviews and ensure alignment with Malaysian Qualifications Framework (MQF).
4. International Collaboration & Affiliate Programs
- Manage academic partnerships with foreign universities and institutions.
- Ensure compliance with MoU/MoA terms and international academic standards.
- Support joint-degree, twinning, and credit transfer arrangements.
5. Alternative Pathways & Lifelong Learning
- Administer APEL programs and ensure proper evaluation of prior learning.
- Oversee implementation of HND and other vocational pathways.
- Support flexible learning models including modular certifications and executive education.
6. Policy Development & Academic Governance
- Advise on academic policies, regulations, and institutional standards.
- Serve as secretary to Senate or Academic Board meetings.
- Ensure alignment with COPPA, MQF, and internal quality assurance frameworks.
7. Graduation & Certification
- Manage convocation planning and execution.
- Certify completion of academic requirements and issue official documents.
Qualifications & Skills
- Master’s degree in Education Administration, Law, or related field (PhD preferred).
- Minimum 8-10 years experience in academic administration, preferably in multi-disciplinary institutions.
- Strong knowledge of MQA, COPPA, MQF, TVET, and international accreditation systems.
- Proficient in SIS, LMS, and academic data analytics.
- Excellent leadership, communication, and stakeholder management skills.
- Ability to manage complex academic structures across diverse disciplines.
