Administrator Executive

Overview: As an Administrative Executive for our cooperative, you will be responsible for providing administrative support to ensure efficient operation of the organization. Your role will involve handling a variety of tasks to support the smooth functioning of daily operations and assisting in coordinating activities across different departments within the cooperative.
**Responsibilities**:
1. Office Management: Oversee day-to-day office operations, including managing office supplies, equipment, and facilities.
2. Administrative Support: Provide administrative support to various departments within KOPEMA,including handling correspondence, scheduling meetings, and maintaining filing systems.
3. Member Services: Serve as a point of contact for KOPEMA members, addressing inquiries, resolving issues, and providing assistance as needed.
4. Document Management: Maintain and organize documents, records, and reports in both electronic and physical formats.
5. Event Coordination: Assist in planning and coordinating events, meetings, and training sessions for KOPEMA members and staff.
6. Financial Administration: Assist in basic financial tasks such as invoicing, processing payments, and maintaining financial records.
7. Database Management: Maintain accurate and up-to-date member databases and other relevant records.
8. Compliance: Ensure compliance with relevant laws, regulations, and cooperative policies in all administrative activities.
9. Communication: Facilitate communication within KOPEMA by disseminating information, drafting communications, and managing internal correspondence.
10. Support to Management: Provide administrative support to senior management, including scheduling appointments, preparing reports, and conducting research as needed.
11. Team Collaboration: Collaborate with other team members to support any initiatives and projects as required.
12. Continuous Improvement: Identify areas for process improvement within the administrative function and contribute to the implementation of solutions.
**Requirements**:
1. Bachelor's degree in Business Administration, Management, or a related field. 2. Minimum of 2-3 years of experience in administrative roles, preferably in a cooperative or similar organization.
3. Strong organizational and multitasking abilities to effectively manage multiple tasks and priorities.
4. Meticulous attention to detail to ensure accuracy in administrative tasks and documentation.
5. Excellent written and verbal communication skills, with the ability to interact professionally with members, staff, and external stakeholders.
6. Strong problem-solving abilities to address issues and find solutions efficiently.
8. Ability to work collaboratively as part of a team and support colleagues in achieving common goals.
9. Ability to handle sensitive information with discretion and maintain confidentiality.
