**The Role**:
**Key responsibilities include**:
- Control costs and manage all payments pertaining to your events. Budget management and reconciliation including financial reporting.
- Travel to in person events as the on the day Event Manager - Maximum of two weeks consecutive travel 2/3 times per year (may vary depending on schedule)
- Coordinating training for OTD travel team.
- Identifying process inefficiencies and opportunities for automation
**Suppliers and OTD materials**
- Ensure all in-person events have relevant materials ready and prepared for events: Banners, Signage, and equipment. Work closely with Event Management team to ensure all documentation and materials are ready for the events.
**Event Management - OTD**
- Travel to In-person events when required up to a max of 2 weeks on the road.
- Lead and Identify gaps in current processes, systems, or event technology and consistently work on improvements and innovation with relevant stakeholders.
- Assist in managing and monitoring event inventory management and event capacities
- Lead and manage all post event evaluation for each region, identify and follow up on key action points with relevant stakeholders.
**General**
- Facilitating event preparation, performing administrative tasks related to event planning.
- Managing supplier/business partner databases and relationships.
- Other assigned duties as required to support QS Events and Operations
Person Specification
**Essential**
- Proficiency in creating and managing event budgets
- Evidence of providing an outstanding service to clients
- Managing complex logistics and operations for at-scale events/activities
- Experienced at high-quality events and logístical solutions - both virtual and physical
- Keen eye for design and attention to detail
- Well presented, exceptional written and verbal communication skills
- Excellent organisational and planning skills with the ability to work across multiple events concurrently
- Experience in managing suppliers and partners
- Experience in delivering events across multiple different timezones, countries, and cultures
- Fluent in English
**Desirable**
- Knowledge of CRM systems, Netsuite preferably
- Experience of developing in event content and event design
- Proficiency in additional foreign languages, particularly Spanish or an Eastern European language
**Technical skills and qualifications**
- Meticulous administration skills
- IT proficiency particularly around event management platforms and MS Office (particularly excel)
- Excellent project management skills
