**KEY RESPONSIBILITIES:

- **Receptionist & Patience Care**_
- Greeting patients and attending to them as soon as they come into the clinic and handling patients with utmost care and importance
- Ensuring patients cards or treatment chit are prepared correctly according to SOP
- Registering patients at the counter with utmost care and good customer servce
- Keeping registration counter neat and tidy while maintaining clinic's image
- Filing and retrieving of patient cards ensuring filing system is followed and maintained for easy retrieval to minimize filing errors and misplaced/missing cards
- **Clinical Duties & Assisting Doctors**_
- Assisting the doctor while he is giving treatment and ensuring consultation and treatment are given smoothly to meet patient's satisfaction
- Assiting the patients for doctors examincation by ensuring patient feels comfortable in the room
- Ushering in patients into the consultation or treatment room with concern and welcome feeling
- Keeping the doctor's room tidy and neat for consultation; cleaning it u if necessary, to ensure the environment looks pleasant for the patients
- Chaperoning doctors especially for female patients and ensuring sensitive issues are handled correctly
- **Treatment Duties**_
- Preparing medical instruments for steralization and handling after sterilization in accordance to safety precautioins and abiding to safety rules
- Handling medical equipment such as ECG, Ultrasound or X-ray with proper techniques and professionalism, ensuring safety precautions are taken always
- Ensuring sufficient supply of gauze, cotton and other medical consumable for clinic usage when needed, that medical supplies are available at all the times
- Destroying used syringes and needles before disposal when necesary; ensuring safety measure taken during disposal
- Assiting doctors during minor surgery and giving treatment when necessary; ensuring patients welfare is always upheld
- **Dispensing Duties**_
- Dispensing drugs as prescribed by the doctors, ensuring the right drugs and dosage given out and provide correct instruction regarding dosage, duration and methods (if any) to the patient
- Inquiring from the patients regarding allergies to medicine; ensuring allergic medicines are not dispensed
- Preparing and labelling plastic bottles for medicines / mixtures, ensure prepared bottles are always available; ensuring sufficient bottles, cream and pill containers in the dispensary
- Pouring medicines / mixtures into smaller bottles; ensure medicines are available at all the times without wasting time
- Keying-in drugs prescribed into the computer for records and for charges
- Ensure all medical reports & treatment chits are attached properly with the Pre-invoice summary
- **Administrative Duties**_
- Typing letters, insurance and other medical reports needed for corporate bodies, companies or individuals and for the doctors
- Performing office administration and housekeping functions to ensure smooth operations of the clinic
- Disseminating circulars and memorandums to staff and keeping proper file for easy reference and retrieval of documents
- Monitoring stocks and placing orders of drugs, medical supplies, stationary, office sundry, etc. (when necessary)
- Updating drugs receipts and disbursed from the store into the computer, ensuring accurate drugs stock in the system
- **Staffing & Resource Management**_
- Notifying Corporate Office of any staff recruitment, absence or resignation
- Maintaining staff and doctor's leave record and submit quartely report to Corporate Office; ensuring records are updated and report submitted
- Arranging for locum, as and when required, ensuring doctor is available during clinic operating hours
- Managing staff duty roster and submitting staff overtime and allowances claim to Corporate Office for month end payroll processing, ensuring forms are submitted the latest by 17th of the following months
- Submitting locum doctors working hours summary to Corporate Office for payment by due date ensuring forms are submitted the latest by 17th of the following months
- **Accounting Supporting Role**_
- Preparing invoice summary maintenance report to get the invoice number ensuring accurate invoice number
- Printing all invoices and verifying all invoices to ensure correct billing, issue Debit Note / Credit Note, where necessary, ensuring accurate invoices sent to clients and minimum Debit Note / Credit Note
