Putrajaya, Malaysia RAILWAY ASSETS HOLDING Full time

Responsible with contract management, utility bill payment, supporting daily office operations and executing any ad-hoc task given by superior. This role ensures accurate record-keeping, timely processing of payments, and efficient office coordination.

**Key Responsibilities**:
1. Contract Management
- Renewals and Amendments: Manage the renewal or amendment of contracts as needed, including planning timelines for updates.
- Record and Documentation Management: Maintain organized and secure records of contracts, including agreements and modifications.
- Contract Performance Monitoring: Monitor contract execution to ensure adherence to terms and act as a liaison between the organization and external parties (vendors, service providers).
- Preparation and Review of Contracts: Prepare and review draft contracts with stakeholders, ensuring compliance with regulations/policies/laws.

2. Utility Bills Payments
- Processing Utility Bills: Ensure timely payments for utilities such as water, electricity, and telecommunications.
- Maintaining Payment Records: Keep accurate records of all utility expenses and payment schedules.
- Issue Resolution: Communicate with utility providers to ensure smooth payment processes and resolve any issues.

3. Office Management
- Office Safety and Cleanliness: Ensure the office environment is safe, clean, and comfortable by supervising cleaning and security services.
- Office Maintenance: Coordinating repairs, maintenance, and cleaning services to maintain a conducive working environment.
- Help to cover the receptionist counter when required.

4. Administrative Support
- Preparing reports related to contract management, utility payments, and office activities for management review.
- Ensure proper organization, storage, and retrieval of administrative documents.
- General Office Duties: Perform other administrative tasks as required to support the team and execute any ad-hoc task given by superior.

**Qualification**:
a. Education:

- Diploma or Bachelor’s Degree in Business Administration, Management or any related field.

b. Experience:

- 1-2 years of experience in administration roles, contract management, or office operations
- Fresh graduates with relevant internship are also encouraged to apply

c. Skills:

- Proficient in Microsoft Office Suites (Word, Excel, PowerPoint)
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities
- Attention to detail and problem-solving skills
- Willingness to work overtime during peak periods or emergencies
- Flexibility to travel on short notice for work-related purposes
- Ability to work in fast-paced environment and meet deadlines
