Logistics & Administration Cordinator

The Administrative & Logistics Assistant plays a vital role in supporting logistics operations and providing administrative support within an HVAC manufacturing facility. This role coordinates shipment logistics, maintains documentation accuracy, and facilitates communication between departments to ensure the smooth flow of materials and finished HVAC products from production to delivery.
**Logistics Support**:
- Coordinate inbound and outbound shipments of HVAC units, components, and raw materials.
- Liaise with freight carriers, freight forwarders, suppliers, and customers to schedule pickups and deliveries.
- Generate shipping documents including packing lists, bills of lading, commercial invoices, and Certificate of Origin.
- Track shipments and provide status updates to internal teams and customers.
- Ensure compliance with industry-specific shipping requirements (e.g., fumigation requirements, packing declarations ).
**Administrative Support**:
- Maintain organized records of all logistics documents including shipping confirmations, invoices, and customs paperwork.
- Liaise with designated LMW officer for monthly stock reporting, renewals and additional approvals when required as per LMW requirement
- Prepare documentation for import and export shipments
- Enter and update data in the ERP system, including order tracking, shipment details, and inventory movements.
- Day-to-day administration including screening telephone calls, filing and mail sorting
- LMW and e-invoicing experience will be an added advantage.
Pay: RM2,500.00 - RM3,500.00 per month
