**Position Overview**

We are looking for a highly organised and resourceful **Admin cum Personal Assistant** to support our day-to-day business operations and assist top management. This role requires someone proactive, detail-oriented, and able to manage a wide range of administrative and coordination tasks in a fast-paced environment. Proficiency in **Mandarin** is essential to effectively communicate with our Mandarin-speaking clients and stakeholders.

**Key Responsibilities**

**1. Office Management & Operations**
- Oversee daily office functions to ensure smooth business operations.
- Manage office supplies, equipment, and general upkeep of facilities.

**2. Records & Documentation Management**
- Maintain accurate records, filing systems, and confidential documents.
- Prepare reports, minutes of meetings, and business correspondence.

**3. Budgeting & Financial Administration**
- Assist with administrative budgeting, petty cash, and expense tracking.
- Liaise with accounts department for billing and invoice follow-ups.

**4. Facility & Vendor Management**
- Coordinate and liaise with suppliers, contractors, and service providers.
- Ensure timely maintenance and procurement of office and facility needs.

**5. Communication & Coordination**
- Serve as a point of contact for internal teams and external stakeholders.
- Manage scheduling, travel arrangements, and executive calendar planning.

**Required Skills & Qualifications**
- Strong organisational, leadership, and problem-solving skills.
- Excellent communication, negotiation, and interpersonal abilities.
- Capable of managing multiple tasks and leading cross-functional teams.
- Proficient in Microsoft Office Suite (especially PowerPoint, Excel, Word).
- Fluent in both **Mandarin and English** (spoken and written).
- Note: This role requires fluency in Mandarin to engage effectively with Mandarin-speaking clients and partners._
