**Job Summary**:
**Key Responsibilities**:
1. **Executive & Director Support**
- Act as a point of contact between the Director and internal/external stakeholders.
- Manage the Director’s calendar, schedule appointments, and coordinate meetings.
- Prepare meeting agendas, minutes, and follow-up action plans.
- Handle confidential information and documents with discretion.

2. **Office Administration**
- Oversee daily office operations to ensure smooth functioning.
- Maintain and organize physical and electronic filing systems.
- Monitor office supplies and coordinate procurement.

3. **Meeting & Event Coordination**
- Organize internal meetings, training sessions, and corporate events.
- Arrange logistics such as venue booking, catering, materials, and attendee coordination.
- Record and distribute meeting minutes and action items.
- Support in planning team training activities and company functions.

4. **Team Support & HR Administration**
- Assist in onboarding new staff (e.g., preparing documents, orientations, access).
- Help maintain HR records including attendance, leave tracking, and staff files.
- Support team leaders with staff communications and coordination.
- Prepare simple HR reports, memos, and letters when required.
- Assist in maintaining a positive office culture and internal communication.

5. **General Administrative Duties**
- Draft official letters, reports, forms, and presentations.
- Coordinate internal communications and ensure timely updates across teams.
- Perform data entry and basic bookkeeping support if needed.
- Take initiative to identify and improve administrative systems and processes.
- Handle other tasks as directed by the Director or the management team.

**Requirements**:

- Minimum Degree in Business Administration, Office Management, or related field.
- At least 1-2 years of experience in administrative support, executive assistance, or HR coordination is an advantage.
- Excellent organizational, resourceful and multitasking abilities.
- Strong proficiency in AI (ChatGPT,Deepseek etc.). Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Good command of English and Bahasa Malaysia (spoken and written).
- Professional appearance and a positive, responsible attitude.
- High level of integrity, especially in handling confidential information.
- Able to work independently and manage time efficiently.

**Working Hours & Benefits**:

- **Working Hours**:Monday to Friday, 8.00am - 6.00pm
