Document Controller

Execute scope by serving as a technical representative for project team in arranging, liaising, and coordinating the project activities to ensure documentation control, engineering’s daily administrative functions, office policies and office procedure is met. Act as a centralised project support representative for Technygroup Holdings. Enhance the project and site operational procedure including tendering process, documentations process and standard operational procedure. Support operations manager, project manager and engineers for the work tasks. - Support Engineering team on daily administrative functions - Support tender team to compile tender documents submission and filling - Controlling project documentation. - Following and improving document control procedures. - Ensuring all documentation meets formal requirements and required standards. - Sorting, storing, and retrieving electronic and hard copy documents on behalf of clients and industry professionals. - Producing document progress reports for senior managers. - Conducting regular reviews and document audits. - Organise and distribute documents within company. - Helping in the planning stages of a specific project. - Ensure documents are shared at key times to facilitate timely project completion. - Assists Project Controller in develop, implement, and improve office policies and procedure. - Support company for QMS certification. - Ensure the QMS is established, documented, and maintained. - Ensure documentation control and filing to be carried as per company’s SOP. - Create an execute internal project audit and controls to ensure the SOP execution as per company policy. - Maintain and keep record for engineering data. - Facilitate documents flow among site project team and office support team on time - Assists and participate in internal, external and 3rd party audit. - Schedule internal meeting and book calendar among the organisations. - Record minutes of meeting for project related meetings. - Manage client/ customer’s incoming RFQ and tender process to be carried out on time. - Facilitate communications between project support team and field staff. - Minimum Diploma holder in Engineering or Project management - 1 years and above working experience in engineering field or project management - Must possess a valid driver's license, Own transport - Proficient in MS Office suite - Good understanding of documents control - Organized, detail oriented and self-motivated - Strong communication skills - Ability to receive direction and independently follow through with assigned tasks with mínimal & remote supervision by the superiors. - Ability to maintain a high level of confidentiality regarding team member, clients, contractors & suppliers. Trustworthy, with a strong work ethic founded upon integrity, commitment, and respect. - Ability to work closely with team member, Higher Management, Business Partners and Volunteers at all levels.
