The HR & Admin Executive is responsible for supporting the day-to-day operations of the Human Resources and Administration departments. This includes recruitment, employee relations, HR documentation, office administration, and ensuring compliance with company policies and statutory requirements.
**Key Responsibilities**
**Human Resources**
- Manage end-to-end recruitment process (posting job ads, screening resumes, arranging interviews, etc.).
- Maintain and update employee records, personal files, and HR databases.
- Assist in onboarding, orientation, and induction programs for new hires.
- Monitor staff attendance, leave records, and maintain HRIS system.
- Prepare HR-related letters (e.g., offer letters, confirmation, warning, termination).
- Assist in handling employee relations matters and grievance issues.
- Coordinate training and development activities.
- Support payroll preparation with attendance and leave summaries.
**Administration**
- Manage office supplies, equipment, and general administrative needs.
- Oversee maintenance of office premises and facilities.
- Liaise with external vendors, service providers, and government agencies.
- Organize company events, meetings, and staff engagement activities.
- Assist in implementing company policies, SOPs, and internal communication.
- Handle incoming/outgoing correspondences and documents.
- Perform other ad hoc tasks assigned by management.
**Receptionist / Front Desk Duties**
- Attend to all incoming phone calls and transfer to the appropriate personnel.
- Greet and assist visitors professionally.
- Handle incoming and outgoing mail and courier services.
- Maintain a neat and tidy front desk and reception area.
- Manage meeting room bookings and refreshments for guests when required.
- Provide general support to visitors and staff as needed.
**Requirement**
- Degree in Human Resource Management, Business Administration, or related field.
- Minimum 1-3 years of experience in a similar role.
- Good knowledge of Malaysian labor laws and statutory requirements.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Strong communication and interpersonal skills.
- Detail-oriented, organized, and able to work independently.
- Able to maintain confidentiality and handle sensitive information professionally.
Pay: RM2,500.00 - RM3,500.00 per month
