**JOB SUMMARY/**
**MAIN**

**RESPONSIBILITIES**:

- Responsible for overseeing and coordinating the entire tendering process—from preparing and publishing bid documents to managing submissions, facilitating evaluations, ensuring compliance with procurement regulations, and maintaining transparency in the awarding of contracts. The role also includes keeping accurate records and liaising with relevant stakeholders.

**DUTIES & RESPONSIBILITIES**:

- Perform invitations to bid for clients in a timely manner and coordinate all aspects of the tendering process, including documentation and communication with stakeholders and adherence to deadlines.
- Arrange seating arrangements for internal and external stakeholders during tender-related meetings and briefings, and serve as a point of contact for stakeholders, addressing inquiries and providing necessary support.
- Prepare and maintain documentation related to procurement matters, ensuring accuracy and compliance with organizational standards.
- Manage relationships with vendors, including communication, negotiation, and resolution of issues that may arise during the tender process.
- Coordinate the placement of tender commercials in newspapers or other relevant media outlets as required.
- Provide briefings to clients on tender processes, requirements, and timelines, ensuring clarity and understanding.
- Ensure that all tender processes adhere to governance requirements and organizational policies, and monitor and track tender timelines to ensure compliance and timely submissions.
- Maintain accurate records of all tender-related documentation, contracts, and correspondence, and ensure compliance with regulatory and internal compliance requirements.

**QUALIFICATIONS/ REQUIREMENTS**:

- Diploma in Business Administration, Logistics, Procurement, Supply Chain Management, or any related field.
- 1 year of procurement experience ideally in oil & gas, maritime, or shipbuilding industry.
- Strong negotiations, communication, and analytical skills.
- Proficiency in procurement processes and software.
- Ability to manage multiple projects under pressure

**RESPONSIBILITIES**:

- Expected to successfully and efficiently execute executive-level duties under the guidance of the Head of Department, and with mínimal supervision.

**REQUIREMENTS & WHO SHOULD APPLY**:

- Malaysian citizens who are currently unemployed/fresh graduates.
