Manager, Student Accommodation

The role will be based at the University’s campus in Putrajaya.
The post will be part of the Campus Services and Student Accommodation team and will report to the Head of Campus Services and Student Accommodation.
The Manager, Student Accommodation will contribute to the goals of the Student Accommodation by responsible in delivering services in the area of student accommodation to ensure positive student experience. This includes managing the effective day to day administration support, operations of student accommodation, routine maintenance and security of the student accommodations, managing budgets, dissemination prompt and accurate information to its customers, risks management and responding to emergencies.

**Responsibilities**:

- Responsible for the day to day operational management of student accommodation, both on-campus and off-campus which includes room allocation, maintenance of students’ records and tenancy agreements, and preparation of reports to management.
- Responsible for budget management to achieve efficiency and effectiveness.
- To ensure effective and efficient hospitality services meet the needs and requirements of the University and students. To ensure facilities and maintenance issues are addressed and rectified on a timely manner.
- Responsible for all aspects of planning and organizing of resources in support of key strategic capital projects such as student accommodation system or new student accommodation including negotiate tenancy agreements with landlords to secure suitable hostel units with the University direction and objectives.
- Provide leadership to direct, manage and support the student accommodation team members in their roles and achieving objectives by providing mentoring, training and guidance.
- Recognise the importance of providing excellent service whilst also paying attention to the University’s commercial objectives to achieve a minimum of 80% occupancy and supporting the University in generating alternative revenue.
- Oversees potential residents and existing students’ enquiries and incidents. Carry out regular inspection of all accommodations to ensure quality standards are maintained, this includes monitoring guest and student feedback, providing resolution where relevant and highlighting areas for attention/ improvement.
- Responsible to establish and upkeep the Standard Operating Procedures for the management of student accommodation. Pay attention to detail and to advise on any improvements to the service being provided in student accommodation.
- Work closely with Health and Safety office, to ensure health and safety, security and fire regulations are in compliance with the University and local authorities’ laws and regulations for student accommodations.
- Work closely and build good relationship with students’ accommodation colleagues in Edinburgh campus for knowledges exchange and achieve the University objectives.
- To liaise work with internal stakeholders, student association and external parties such as commercial vendors and contractors to ensure maintenance issues are managed and turn round times are met, accounts updated, the processes followed and efficiency of operations is maintained at all times.
- To work with student association to coordinate events and provide an excellent environment for the students to live in.
- Support Marketing and Student Recruitment activities and events.
- Develop and maintain effective professional liaison with relevant external parties and partners including other institutions.
- To ensure record and reports management is in place.
- Maintain effective working relationships with the units and department within the University to facilitate cooperation, synergy and successful outcomes in target and objectives.
- To support the University’s strategic initiatives and to perform other relevant duties as assigned by the Head of Department.
- Support and work with strategic theme leaders to deliver the University’s strategic themes, especially in building flourishing communities.
- To assume the duties of a Warden for the University student accommodation.
- Additional duties and functions may be required of the post depending on the development and nature of the operation which are not defined at this time, but which may reasonably be requested to be carried out.
