Roles and Responsibilities:

Monitoring on Staff Disciplines -

  • Responsible for managing all aspects of industrial and labor relations
  • Investigate disciplinary issues and to recommend appropriate disciplinary action including issuing Suspension and/or Show Cause letter, Warning letter, and other related disciplinary actions
  • Monitor staff attendance and take necessary disciplinary action against absenteeism and lateness
  • Issuance of self-termination letter, dismissal letter, authorization letter, etc

Conducting Domestic Inquiry

  • Involved in conducting Domestic Inquiry including conduct an investigation, schedule the event, identify Company's witnesses, interviewing witnesses, collect information and data, identify Board of Inquiry, prepare exhibits files and taking minutes etc
  • Prepares a complete report after domestic inquiry session in order for management to review and assist in decision making.

Supervising Performance Improvement Plan (PIP)

  • Assisting line managers to prepare performance improvement plan for under-performance staff by drafting actions plan and desired outcome during PIP process.

Observing Employee Relations

  • Conduct prompt and thorough investigations in response to employee complaints. Identify, and recommend implementation of appropriate actions to accomplish a timely resolution of employee concerns in order to maintain a good rapport between employees and employer
  • Provide counseling service and guide employees regarding company policies and procedures
  • Maintain positive employee relations climate by responding to employees' concern addressing issues proactively and advising management regarding proper Company practices.
  • Showrooms visits to close the gap between operational staff and HR

Dealing with Government Officials

  • Liaising with Government Officials & prepare requested information or documents
  • Represent the Company in resolving industrial relations dispute between Company and employees at Industrial Relations Department

Preparing Report, Tracking & Updates

  • Organize Carrot and Stick issuance by line managers
  • Prepare Carrot and Stick Monthly Report in order to assist related departments to process daily task
  • Maintaining and updating Disciplinary Policies and Standard Operating Procedure (SOP)

Conducting Training For Line Managers

  • Visiting main regions by giving guidance and advices to ensure Line Managers is updated with HR proper procedures and to train them to be a responsible managers towards subordinates

Others

  • Ensure proper documentation of all disciplinary issues, labor office cases and other related files.
  • Participate in projects and ad hoc tasks as assigned by the management from time to time in order to meet operational and/or other requirements.

Minimum Job Requirements:

  • Minimum Bachelor Degree in HR or related field.
  • Intermediate level computer skills (Microsoft Excel & Words and Power Point).
  • Have strong communication skill to effectively guide Line Managers to take appropriate actions towards staff disciplinary matters.
  • Good interpersonal and people management skills manage and able to liase with all staff levels
  • Willingness to learn grow with the Company and multitask.
  • Good problem solving skills, able to navigate unexpected situations or conditions and able to cope with stress and pressure for last minute arrangement and deadlines.
  • Familiar with Malaysian Labour Law and Industrial Act.
