Office Administrator

· Perform daily administrative works such as data entry, documentation processing and filing systematically in accordance to the project.
· Assist in preparing and organizing tender documents.
· Coordinate with the clients, other consultants and the local authorities and work with the relevant parties in the authorities' submission and project execution.
· Site inspection or site visit for certificate purposes when required.
· Undertake the tasks of receiving calls, take messages and routing correspondences.
· Prepare correspondences via email, letter, minutes of meeting and etc.
· Prepare and monitor invoices.
· Assist in sourcing, purchasing and negotiating of material, equipment and supplies from vendors/subcontractors to ensure that value for money and excellent service level are optimized.
· Assist in data consolidation when required.
· Cover office administration duty when required.
· Welcome visitors, handle inquiries in a professional and courteous manner.
· Receive, send out, sort and distribute mails and parcels.
· Ensure proper maintenance and repair of office equipment for a clean and safe working environment.
· Ensure office, stationery, beverages, pantry etc are maintained and upkeep.
· Support team for their expenses claims and assist in salary pay slips.
· Organize company event and activities when required.
· Assist Project Admin in all documentation necessary.
