Job Responsibilities
The Senior Operations Executive expresses its operations strategy and objectives to ensure that the company reaches its target and operates effectively. This role requires assisting various departments by collaborating and coordinating operational tasks. The Senior Operations Executive will be part of our growing multicultural company and will contribute to the organization's growth and knowledge.
Key Accountabilities
Business/Management Activity
- Recruitment activities from screening, shortlisting, interviewing, selection, to offering, preparation and administering the signing of contracts
- On-boarding, offboarding and induction activities
- Manage HR operations such as preparing and maintaining of personal files and records, payroll verification, tracking of service confirmation, contract expiry, etc day calendars and leave balance
- Assist Assistant HR Manager with training activities and projects
- Compliance with all government divisions- Assist in any other tasks assigned
Function – Specific Activity
- Perform HR Master Data changes in line with compliance, data privacy and service levels requirements
- Support end to end life cycle for employees from on boarding to off boarding
- Respond to external/internal requests for information
People Management Activity
- Providing clerical and administrative support to Human Resources team
- Implement effective sourcing, screening and interviewing techniques
- Manage employees' grievances and escalate if necessary to the HR Manager
- Deal with employee requests regarding human resources issues, rules, and regulations
- Manage medical claims and clearance for employees.
Office Operations Activity
- Communicate with the operation and management team to prepare an efficiently executed operations strategy
- Monitor the company's operations and various expenses and budgets within their department and the daily operations.
- Monitor and check on the performance of the operations of both internal service providers and external service providers.
- Contribute to ensuring a conducive, collaborative and productive work environment for their department.
- Build and put in place processes and procedures to improve daily company operations.
Job Requirements
- Must possess at least a Diploma in Administrative or Operation.
- At least 4 year(s) of working experience in the related field is required for this position.
- Executives specialising in Operation in terms basic accounting as well as administrative tasks and office facilities.
- Excellent communication skills and telephone etiquette in spoken English and Bahasa Malaysia.
- Friendly and pleasant disposition.
- Computer knowledge is compulsory i.e. Microsoft Word and Excel.
- Applicants must be able to multitask and be smart in planning the task assigned on a daily basis.
- He/she must be well versed in Malaysian Labour Laws
- Confident, meticulous and have excellent communication skills in managing all stakeholders, including senior management
Job Type: Full-time
Pay: RM3, RM5,000.00 per month
