We are seeking a detail-oriented and reliable Personal Assistant cum Admin to support the Director and oversee daily business and administrative operations. The ideal candidate is proactive, highly organized, and able to communicate effectively in a multilingual environment. In this role, you will assist the Director with scheduling, email and correspondence management, and communication with Heads of Department, while also ensuring smooth office administration, accurate record-keeping, and timely follow-up on assignments. You will be entrusted with handling personal and confidential matters with the highest level of discretion and professionalism, playing a key role in supporting the overall efficiency of the company.

Job Description

  • Act as the primary point of contact and gatekeeper for the Managing Director (MD), including screening calls, emails, and requests.
  • Accurately record and prepare meeting minutes with clarity and detail.
  • Manage and coordinate the MD's meetings, schedules, and travel arrangements.
  • Assist in reviewing agreements and handling highly confidential documents.
  • Oversee office administration tasks, including renovation and tenancy management.
  • Follow up on internal and external operational matters to ensure timely completion.
  • Maintain proper filing systems and manage the company's social media accounts and messages.
  • Handle personal and family-related matters as required.
  • Perform other ad-hoc duties as assigned by the Director.

Job Requirements

  • Female applicants only, due to the nature of the role.
  • 2–4 years of experience in office administration or as a personal assistant.
  • Strong integrity, discretion, and professionalism in handling sensitive information.
  • Ability to adapt in a fast-paced environment and willingness to work after hours if required.
  • Proficiency in English, Bahasa Malaysia, and Mandarin (preferred) to communicate with Mandarin-speaking clients.
  • Skilled in Microsoft Office (Word, Excel, PowerPoint).
  • Possess own transport and a valid driving license.
