Position Overview

The
Operation Support Executive / Assistant
is responsible for coordinating and supporting daily operational and logistics activities to ensure smooth, efficient, and cost-effective business operations. This role involves managing delivery arrangements, monitoring inventory, and liaising across departments to support seamless execution of orders and operational plans. Strong coordination, communication, and problem-solving skills are essential.

Key Responsibilities
Operations & Logistics Support

  • Arrange and coordinate daily deliveries using company drivers or external transporters.
  • Coordinate with the Sales Team to ensure all
    Delivery Orders (DO)
    are accurately entered and updated.
  • Monitor delivery schedules and plan efficient, cost-saving delivery routes.
  • Communicate closely with the
    Warehouse Supervisor
    and
    Operations Manager
    regarding delivery plans, inventory levels, and dispatch updates.
  • Print and prepare
    air waybills
    and related delivery documentation.
  • Oversee stock planning, monitoring, and reconciliation activities to ensure inventory accuracy.
  • Lead and coordinate
    stock take
    exercises, ensuring records are verified and aligned with physical counts.
  • Liaise with vendors and suppliers to ensure the continuous flow of raw materials and smooth production operations.
  • Consolidate monthly data and prepare analytical reports to support management review and decision-making.
  • Provide administrative and operational assistance to senior management and departmental heads.
  • Organize meetings, appointments, and schedules, including preparing detailed minutes and follow-up actions.
  • Prepare and maintain correspondence, reports, spreadsheets, and presentations for internal and external use.
  • Maintain an efficient and confidential filing system with accurate and accessible information.
  • Handle phone calls, inquiries, and visitors professionally.
  • Support the development and implementation of office policies and operational processes for improved efficiency.
  • Collaborate with cross-functional teams to ensure effective communication and workflow coordination.
  • Perform other duties and assignments as required to support business continuity and company goals.

Requirements

  • Diploma or Bachelor's Degree in
    Business Administration
    ,
    Operations Management
    , or related field.
  • Minimum
    2–3 years
    of relevant experience in operations, logistics, or administrative support.
  • Strong coordination, planning, and communication skills.
  • Proficient in
    Microsoft Office Suite
    (Excel, Word, PowerPoint, Outlook); familiarity with
    ERP systems
    (e.g., Odoo) and communication tools (e.g., Zoom, Teams) is an advantage.
  • Demonstrated ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong attention to detail, accuracy, and integrity in handling operational data and documents.
  • Ability to work both independently and collaboratively across departments.
