Job Summary
The Talent Acquisition Executive is responsible for managing the end-to-end recruitment process and ensuring smooth execution of talent acquisition operations. This role combines hands-on recruitment delivery with administrative excellence, supporting the full employee lifecycle — from hiring to confirmation and off-boarding.
Key Responsibilities
1. Recruitment
- Manage full-cycle recruitment for entry-level to executive-level roles, including sourcing, screening, interviewing, and offer management.
- Partner with hiring managers to understand hiring needs, develop job postings, and recommend effective sourcing strategies.
- Conduct new hire on-boarding sessions, including first-day briefings, to ensure a smooth transition for new employees.
- Manage employee off-boarding procedures, ensuring all exit formalities are completed accurately and timely.
- Maintain accurate candidate and recruitment records in the Applicant Tracking System (ATS).
- Prepare salary proposals, ensuring market competitiveness and internal equity.
- Conduct Background Check as necessary
2. Talent Acquisition Operations (TA Ops)
- Own the Employee Confirmation Process — from sending out the Confirmation Assessment Form to issuing Employment Confirmation Letters.
- Handle submission of new hire employment contracts to LHDN for stamping in compliance with statutory requirements.
- Process invoices for recruitment-related expenses, including external agencies (e.g., JobStreet, Veremark) and other job portals.
- Prepare and publish monthly internal job postings and new employee announcements.
- Manage and monitor the Employee Referral Program, including tracking submissions, verifying eligibility, and coordinating rewards.
- Support audit and compliance requirements by maintaining accurate recruitment and employment documentation.
- Ensure data accuracy and integrity across recruitment systems and reports.
3. Employer Branding Strategy & Campaigns
· Participate at career fairs, university engagements and networking events
· Post career opportunities on company LinkedIn page to enhance talent pipelining.
Qualifications & Requirements
- Bachelor's degree in human resources, Business Administration, or related field.
- 2–4 years of experience in recruitment or HR operations.
- Strong understanding of end-to-end recruitment processes and HR documentation.
- Familiar with Malaysian employment regulations and statutory submissions (e.g., LHDN).
- Excellent communication, organizational, and multitasking skills.
- Proficiency in MS Office and HR systems or Applicant Tracking Systems (ATS).
- Detail-oriented, dependable, and able to work independently in a fast-paced environment.
