Job Description

We are a growing design-and-build construction company focused on high-end residential and commercial projects, now a small team of 5 people including the founder. We're seeking a dynamic and proactive Finance & Administration Executive to support our expansion by taking on a mix of accounts, HR, and administrative responsibilities. This role is an extension of the founder's current duties, requiring adaptability, organization, and initiative in a collaborative small-team environment.

Key Responsibilities:

Part A - Accounts:

  • Perform bookkeeping and manage day-to-day accounts to ensure accurate financial records.
  • Handle e-invoicing to clients, including preparation, submission, and follow-up for timely payments.
  • Prepare full sets of accounts, including financial statements, reconciliations, and monthly/annual closings.
  • Process payments to vendors, suppliers, and contractors while tracking and reconciling transactions.

Part B - Administration:

  • Manage HR tasks, such as onboarding new hires, maintaining employee records, processing payroll, and ensuring compliance with basic labor regulations.
  • Oversee social media management, including creating engaging content, scheduling posts, and monitoring interactions to promote our projects and brand.
  • Assist the founder with schedules and priorities, including calendar management, task prioritization, and reminders to optimize daily operations.
  • Handle all inward and outward communications, including emails, phone calls, client inquiries, and internal updates to maintain seamless flow.

Requirements/Qualifications:

  • Diploma or bachelor's degree in Accounting, Finance, Business Administration, or a related field (or equivalent experience).
  • Ability to multitask and manage competing priorities with strong organizational skills.
  • Proficiency in accounting software (e.g., QuickBooks, Xero) and office tools (e.g., Microsoft Office Suite, Google Workspace).
  • Excellent verbal and written communication skills in English and Malay for interacting with clients, vendors, employees, and stakeholders.
  • Ability to work independently with minimal supervision and take initiative in a small-team setting.
  • Strong problem-solving skills and a proactive, can-do attitude.
  • Basic understanding of Malaysian tax and regulatory requirements for accounts and HR.

Preferred Skills:

  • Experience in the construction, design, or real estate industry.
  • Familiarity with social media platforms (e.g., Instagram, LinkedIn, Facebook) and content creation tools (e.g., Canva, Hootsuite).
  • HR certification or experience with payroll systems and employee management.
  • Comfortable adapting to the evolving needs of a growing business.
