We are seeking a detail-oriented and proactive Warehouse Specialist to support our daily warehouse, logistics, and order management operations. The successful candidate will play a key role in ensuring efficient order fulfillment, accurate inventory management, and timely delivery to both internal and external customers.

Key Responsibilities

A. Order Arrangement

  • Manage day-to-day sales operations and provide administrative support.
  • Handle customer inquiries and service requests in a professional and timely manner.
  • Deliver high levels of service to both internal and external stakeholders.
  • Manage post-sales processes, including delivery orders, invoicing, commissioning notes, credit notes, returns, and related documentation.
  • Coordinate with Customer Service to resolve complex or escalated customer and supplier concerns.

B. Warehouse & Inventory Management

  • Ensure compliance with safety regulations, company SOPs, and quality standards in all warehouse operations.
  • Route and arrange goods to designated storage locations; stack or palletize goods properly.
  • Implement and maintain inventory control procedures to ensure data accuracy and integrity.
  • Conduct full stock counts every six months and reconcile stock with warehouse records.
  • Tabulate excess stock reports and assist during stocktaking activities.
  • Handle loan sets, verify consignment stock count sheets, and update records accordingly.
  • Prepare simple monthly reports on loan set utilization.
  • Review and propose inventory purchase requisitions when required.
  • Inspect incoming goods, document deterioration or damage with photos, and report to Customer Service.
  • Handle goods return and exchange processes, including monitoring customer email requests.
  • Prepare daily stock write-off forms, perform stock adjustments and transfers to ensure inventory accuracy.
  • Coordinate write-off and disposal activities with vendors.

C. Logistics Coordination

  • Coordinate logistics arrangements with third-party courier companies.
  • Arrange loan set logistics and provide advice to the sales team on logistics coverage.

D. Other Duties

  • Perform other related tasks and responsibilities as assigned from time to time by the Company or management.

Qualifications & Requirements
  • Diploma or above in Logistics, Supply Chain, or related discipline preferred.
  • Minimum 2 years of relevant experience in warehouse or logistics operations.
  • Strong attention to detail and accuracy in inventory management.
  • Good communication and problem-solving skills.
  • Proficient in MS Office (Excel, Word) and warehouse management systems - SAP is a plus.
  • Able to work independently and as part of a team.
  • Knowledge of safety and compliance regulations in warehouse environments is an advantage.
