As we expand our presence, we are seeking a highly motivated and detail-oriented individual to support our Kuala Lumpur office operations.
Role Overview
We are looking for an
Executive Assistant / Office Manager
to provide day-to-day operational, administrative, and executive support to the leadership team. This role is suitable for either:
- An
experienced Executive Assistant / Office Manager
seeking a dynamic, growing company environment, or - A
recent graduate
with strong organizational skills and a willingness to learn.
Prior experience in the
insurance or financial services industry
is strongly preferred.
Key Responsibilities
Executive Support
- Manage scheduling, calendars, and travel arrangements for the executive team.
- Draft correspondence, prepare documents, and coordinate internal/external communications.
- Support preparation of board papers, reports, and client presentations.
Office Management
- Oversee the smooth day-to-day running of the Kuala Lumpur office.
- Coordinate with vendors, suppliers, and building management.
- Handle procurement of office supplies and maintain basic IT/office systems.
- Ensure compliance with internal policies and procedures.
Administration & Finance Support
- Assist with expense tracking, invoice processing, and basic bookkeeping coordination.
- Liaise with external accountants, auditors, and service providers where required.
- Maintain accurate filing and record-keeping systems.
People & Culture
- Support onboarding of new team members.
- Coordinate internal meetings, training, and office events.
- Act as the first point of contact for day-to-day staff and office queries.
Requirements
- Bachelor's degree (any discipline) OR equivalent experience.
- 0–3 years' experience in administrative, office management, or EA roles.
- Insurance, financial services, or professional services background preferred.
- Strong organizational skills with the ability to multitask and prioritize.
- Excellent written and spoken English; Bahasa Malaysia or Mandarin an advantage.
- Proficient in Microsoft Office Workspace.
- High attention to detail, proactive mindset, and strong interpersonal skills.
