Retail Procurement Manager

Key Responsibilities

1. Category Planning & Procurement Strategy (Convenience + Bookstore Concept)

  • Develop category strategies for both convenience store and bookstore segments, covering FMCG, ready-to-eat food, beverages, daily essentials, stationery, books, and seasonal items.
  • Plan purchasing direction based on sales trends, seasonal demands (exam season, back-to-school, festive periods), and customer demographics.
  • Adjust category mix according to each store's community profile to achieve a "localized assortment" strategy.
  • Regularly update bestseller lists and eliminate slow-moving items to maintain product freshness and competitiveness.
  • Utilize space management techniques to optimize display areas and improve category productivity (e.g., pairing popular books with coffee or snacks for themed displays to increase basket size).
  • Convenience Store: Responsible for food & beverages (including short shelf-life items), daily essentials, snacks, and other high-frequency items.
  • Bookstore: Responsible for books (bestsellers, lifestyle, comics, magazines, children's books) and lifestyle merchandise (stationery, planners, gifts). Emphasis on content appeal and customer experience.

2. Supplier Development & Management

  • Source and develop suppliers for food, beverages, stationery, publishing houses, and distributors.
  • Negotiate with publishers and book agents on wholesale pricing, return policies, and exclusive book deals.
  • Evaluate supplier performance in pricing stability, delivery efficiency, and after-sales support.
  • Maintain a stable supply chain to ensure smooth daily/weekly replenishment and reduce stock-outs.

3. Cost Control & Profit Optimization

  • Negotiate for better pricing, rebates, promotional support, and display allowances.
  • Analyze gross profit structures across categories such as food, beverages, stationery, and books.
  • Manage inventory risks, especially short shelf-life products (convenience store) and slow-moving titles (bookstore).

4. Replenishment Planning & Inventory Management

  • Plan daily replenishment based on sales data and inventory system updates.
  • Set safety stock levels and replenishment cycles to reduce out-of-stock incidents.
  • Ensure fast replenishment for high-demand items (exam supplies, bestsellers, seasonal drinks).
  • Manage stock obsolescence and develop clearance strategies (discounts, bundle deals, thematic displays).

5. New Product Development & Market Trend Monitoring

  • Continuously introduce new and relevant products:
  • Convenience Store: New beverage flavors, trending snacks, healthy foods, fresh daily items.
  • Bookstore: Bestsellers, trending titles, learning tools, stationery, lifestyle gifts.
  • Monitor publishing trends, social media buzz, lifestyle changes, and incorporate popular products quickly.
  • Benchmark against competitors such as 7-Eleven, FamilyMart, Popular, Eslite, and online platforms.
  • Collaborate with the marketing team for new product displays, seasonal themes, and promotional events.
  • Conduct regular market visits to both traditional and modern retailers to optimize product structure.

6. Quality & Compliance Management

  • Ensure all food products comply with health regulations, labeling standards, and storage requirements.
  • Monitor the quality and condition of books, stationery, and printed materials.
  • Ensure accuracy in product labels, barcodes, and system entries.

7. Team Management

  • Lead and supervise procurement assistants and coordinators; assign tasks, provide training, and monitor performance.
  • Improve procurement SOPs, including ordering, returns, and supplier reconciliation processes.
  • Enhance team capabilities in negotiation, data analysis, and supplier communication.

8. Cross-Department Collaboration

  • Work closely with the operations team to resolve stock-out issues and address store needs.
  • Coordinate with the warehouse team to improve receiving, sorting, and delivery efficiency.
  • Collaborate with marketing and merchandising teams on promotional campaigns, themed displays, and bookstore curation.
  • Work with finance to verify supplier invoices, pricing accuracy, and cost structures.

9. Data Analysis & Reporting

  • Monitor category performance for both convenience store and bookstore segments, analyzing sales, gross profit, sell-through, turnover rate, productivity, and average basket size.
  • Prepare regular reports including bestseller analysis, slow-moving reports, and price comparison summaries.
  • Produce monthly procurement reports, seasonal product reviews, and supplier performance evaluations.

Requirements

  • Diploma or Degree in Supply Chain, Business Administration, Marketing, Retail Management, Logistics, or related fields.
  • Minimum 3–5 years of experience in retail procurement, preferably in convenience stores, bookstores, supermarkets, FMCG, stationery, or lifestyle merchandise.
  • Strong understanding of food, beverage, stationery, publishing, and lifestyle categories.
  • Good analytical skills and proficiency in spreadsheets and data tools.
  • Strong negotiation, communication, and supplier management skills.
  • Proactive, detail-oriented, and strong problem-solving abilities.
  • Market-sensitive with good awareness of popular products and consumer trends.
  • Willing to travel for supplier visits and trade exhibitions.
  • Required to visit retail stores frequently during early stage for operational understanding.

Working Hours

5-day work per week: 9:00 AM – 6:00 PM
