About the job:

We are looking for a detail-oriented and proactive Senior HR Operations Executive to support our day-to-day HR processes across Singapore and Malaysia. This role involves managing employee enquiries, maintaining HR records, supporting onboarding and offboarding activities, and ensuring compliance with statutory and internal requirements. The ideal candidate is organized, responsive, and capable of handling confidential information with integrity and professionalism.

Responsibilities

1. Employee Support and Enquiries

  • Respond to employee email enquiries related to:
  • Leave entitlement and balance
  • Medical card issuance and claims
  • Salary-related matters
  • System login/access issues
  • CPF contribution and other statutory queries
  • Opting out of Self-Help Groups (SHG)
  • Resignation process and final entitlements
  • Ensure timely and accurate resolution in line with HR policies and statutory requirements.

2. Data Management & Reporting

  • Maintain and update employee records in the HR system.
  • Extract and compile HR reports such as:
  • Candidate placement/management reports
  • Monthly Payroll Report
  • Leave utilization report
  • Support compliance and audit requirements through accurate data handling and record-keeping.

3. Onboarding & Offboarding Administration

  • Prepare and issue employment contracts and related documentation.
  • Ensure completeness and accuracy of contract terms prior to employee start date.
  • Validate resignation letters and confirm last working day, final leave balance, and final pay date.
  • Coordinate with payroll and relevant teams to ensure smooth offboarding.

4. HR Operations & Compliance

  • Ensure compliance with Singapore and Malaysia employment regulations and internal policies.
  • Support HR process and documentation (e.g., SOPs, process flows).
  • Liaise with client or third-party vendors for benefits, medical insurance, or HR related matters.

Qualifications
:

  • Diploma/Degree in Human Resources, Business Administration, or a related discipline.
  • At least 2 years of relevant HR administrative experience.
  • Good knowledge of Singapore and Malaysia employment laws.
  • Strong attention to detail and a high level of accuracy in handling documentation.
  • Proficient in Microsoft Office and HR systems.
  • Strong communication and interpersonal skills; able to handle employee queries professionally and tactfully.
  • Able to manage confidential information with discretion.
