Position Summary

The Assistant Project Manager (APM) supports the Project Manager in planning, coordinating, and executing construction and development projects with an emphasis on cost management and QS functions. The role ensures projects are delivered on time, within budget, and meet quality and safety standards. The APM bridges design, site execution, and financial control, providing smooth coordination between office, site, and project stakeholders.

Key Responsibilities

1. Project Planning & Coordination

  • Assist in preparing and updating project schedules, work programs, and resource plans.
  • Coordinate with consultants, contractors, suppliers, and internal teams to ensure smooth execution.
  • Participate in design coordination and technical review meetings to resolve discrepancies.

2. Site Supervision & Technical Support

  • Conduct regular site inspections to monitor construction progress, quality, and safety compliance.
  • Verify that works are executed according to approved drawings, specifications, and contractual requirements.
  • Monitor daily site activities, manpower, and material usage.
  • Identify and report site-related issues and assist in timely resolution.

3. QS & Cost Management

  • Assist in cost estimation, measurement, and preparation of bills of quantities (BOQ).
  • Track project budgets, variations, claims, and cost control measures.
  • Support procurement processes, including tender evaluations, quotation analysis, and supplier negotiations.
  • Assist in payment certifications, progress claims, and milestone-based invoicing.
  • Contribute to value engineering and cost optimization initiatives.

4. Quality, Safety & Compliance

  • Ensure compliance with QA/QC, HSE, and project-specific quality standards.
  • Support testing, commissioning, defect rectification, and project handover processes.
  • Assist in the submission and follow-up of authority approvals and statutory compliance.

5. Reporting & Documentation

  • Prepare weekly, monthly, and milestone progress reports for management and clients.
  • Maintain organized records of drawings, permits, approvals, BOQs, claims, and correspondence.
  • Document lessons learned and cost insights for continuous improvement.

6. Stakeholder Management

  • Liaise with clients, consultants, authorities, and subcontractors on project matters.
  • Assist in resolving coordination, technical, or cost-related issues.
  • Attend project meetings and ensure timely issuance of meeting minutes and follow-ups.

Requirements

  • Education: Bachelor's Degree in Civil Engineering, Quantity Surveying, Construction Management, or related field.
  • Experience: years in project management, site coordination, or QS roles in property development/construction.

Technical Skills:

  • Proficient in MS Office, MS Project / Primavera, and AutoCAD.
  • Strong understanding of QS practices: BOQ preparation, measurement, cost tracking, and payment certification.
  • Knowledge of construction processes, scheduling, contract administration, and quality standards.

Soft Skills:

  • Strong analytical, problem-solving, and communication skills.

  • Detail-oriented, proactive, and capable of working independently under pressure.

  • Other: Own transport and willingness to travel to sites.

  • Language: Proficient in English; Bahasa Malaysia is an advantage.
