About the role

NYKSM Maritime Services Sdn Bhd is seeking a talented and detail-oriented Agency and Invoicing Executive/Officer to join our team on a 6-months contract basis. Based in Iskandar Puteri, Johor, this role will be responsible for managing the agency and invoicing processes for our maritime services business.

What you'll be doing

  1. Co-ordinate the appointment of port agents upon receiving requests from the Vessel Manager, MHR, or Cadet Department. Services provided by port agent are handling crew sign-on/off, spare parts clearance, parcel delivery, and other required arrangements
  2. Upon confirmation of port agent appointment, promptly disseminate the port agent contact details to all relevant departments including vessel to facilitate necessary arrangements.
  3. Upon receiving the Final Disbursement invoices (FDA) from port agent, to verify and process the invoices in ERP system.
  4. Register all received Invoices or FDA in ERP system promptly according to department guideline
  5. Check & review  monthly Statement of Accounts (SOA), co-ordinate with internal departments to ensure that invoices are paid within due date, and liaise with suppliers for the invoices not received.
  6. Provide additional support as assigned by Head of Department (HOD).

  1. Minimum 2 years of experience in an administrative or invoicing role, preferably within the maritime or logistics industries
  2. Excellent attention to detail and strong organisational skills
  3. Proficiency in using accounting and invoicing software
  4. Strong communication and interpersonal skills to liaise with clients and internal stakeholders
  5. Ability to work independently and as part of a team
  6. A flexible and adaptable approach to meet the needs of a dynamic business
