Job Summary:

Secure Gateway Security Sdn. Bhd. is seeking a detail-oriented and responsible Admin cum Tender Assistant to support administrative, tender, and manpower documentation tasks. The ideal candidate should have experience in the security services industry and be familiar with managing both foreign and local security guard documentation, as well as handling tender submissions via government portals.


Key Responsibilities:
  • Handle all foreign and local security guard documentation including registration, permit renewals, medicals, and statutory compliance.
  • Manage applications, renewals, and data updates through the following portals:

  • FWCMS (Foreign Workers Centralized Management System) – for foreign worker permit applications and renewals.

  • FOMEMA Portal – for medical form purchase and medical status monitoring.
  • JIM EPass Portal – for immigration-related submissions.
  • PERKESO Portal – for SOCSO registration, contribution, and reporting.
  • EPF Portal (KWSP i-Akaun Employer) – for EPF contribution submission and updates.
  • E-SIMS Portal (KDN Security Industry Management System) – for local guard registration and license management.
  • PIKM Portal (Persatuan Industri Keselamatan Malaysia) – for guard verification and compliance updates.
  • e-Perolehan Portal – for preparing and submitting government tenders.
  • Prepare, organize, and maintain accurate records of manpower, company licenses, and administrative documents.
  • Assist in tender document preparation, submission, and follow-up with clients or authorities.
  • Liaise with relevant government agencies (KDN, Immigration, PERKESO, EPF, FOMEMA, etc.) to ensure compliance with current regulations.
  • Perform general administrative duties including filing, correspondence, and report preparation.
  • Support management with HR and operational documentation as needed.

Requirements:
  • Minimum Qualification: Diploma in Business Administration, Management, or related field.
  • Experience: Minimum 2 years of experience in the security services industry or related administrative role.
  • Technical Skills:

  • Proficient in FWCMS, FOMEMA, JIM EPass, PERKESO, EPF, E-SIMS, PIKM, and e-Perolehan portals.

  • Skilled in Microsoft Office (Word, Excel, PowerPoint).
  • Language Proficiency: Bahasa Malaysia and English (spoken & written).
  • Personal Attributes:

  • Organized, detail-oriented, and able to multitask effectively.

  • Strong coordination and communication skills.
  • Able to work independently with minimal supervision.

Added Advantage:
  • Prior experience in security company operations or tender preparation.
  • Knowledge of foreign worker management and local guard documentation procedures.
