Job Descriptions

  • Coordinate end-to-end processes for helper deployment, including document collection, IPA application, approval tracking, and flight arrangements.
  • Monitor and follow up with sources and Batam admin team to ensure timely submission and approval of IPA, OPP, embassy contracts, and other documents.
  • Liaise with the Customer Service (CS) team to align on employer deployment timelines and coordinate helper arrivals accordingly.
  • Track passport readiness, medical, and other country-specific requirements (e.g., visa, OWIC, PDOS, TESDA, OWWA, OEC) to ensure deployment readiness.
  • Prepare and update weekly book runner and trainer lists based on deployment planning and share relevant documents such as IPA, flight tickets, and certificates.
  • Verify helper loan details, prepare PFIs, and process receipts upon payment confirmation.
  • Review and verify supplier, runner, and insurance invoices to ensure accuracy before submission to the Accounts team.
  • Ensure timely and accurate updates of all financial, document, and deployment records in the company database.
  • Arrange flight bookings and assign runners for helper repatriation in coordination with the Singapore CEI team.
  • Hold high esteem for the quality of your work and ensure all assigned tasks are completed accurately and within required timelines.

Job Requirements

  1. Required language(s): English and Malay.
  2. At least 1 year of admin-related experience, but fresh graduates are acceptable too.
  3. Willing to work on a 5-day work week roster, 10am to 7pm.
  4. Able to start work immediately or with short notice is preferred.
