Job Summary:

The Executive, Tenancy Management is responsible for managing the full spectrum of tenancy matters — from due diligence and agreement preparation to lease renewal and compliance. This role ensures smooth landlord-tenant relationships, accurate recordkeeping, and adherence to company policies and legal requirements.

Key Responsibilities:

  • Conduct due diligence for new tenancy arrangements.
  • Draft, review, and prepare tenancy agreements and related lease documentation to protect company interests.
  • Ensure timely execution, stamping, renewal, termination, and handover of tenancy agreements.
  • Maintain accurate and up-to-date records of all tenancy documentation, tenant information, and related transactions.
  • Monitor tenancy expiry dates and ensure renewals or terminations are handled promptly.
  • Prepare and submit documents for tenancy agreement stamping.
  • Prepare monthly rental payment lists and assist in budgeting and forecasting rental income and expenses.
  • Ensure compliance with the terms and conditions of tenancy agreements.
  • Liaise closely with internal departments on matters related to rental and deposit collection, utilities payment, fit-out works, and regulatory compliance (licensing, permits, etc.).
  • Establish and maintain good relationships with landlords and tenants, addressing and resolving concerns promptly.
  • Attend to tenancy-related issues and perform other ad-hoc duties as assigned by the superior.

Qualification & Experience Requirements:

  • Bachelor's degree in accounting, Business, Retail, Supply chain or related fields. Those pursuing/planning to pursue professional certifications such as CIA, CFE, CRMA etc. are encouraged to apply.
  • Good understanding of business and information systems and technology processes and the related risks
  • Good communication skills.
  • Good problem-solving and analytical skills. Ability to analyze data using tools (e.g. Microsoft Excel, Power BI etc) would be an added advantage
  • Able to use Microsoft Office (Words, PowerPoint, Outlook) proficiently
  • Good language skills (written and verbal) in English and Malay. Ability to speak Mandarin would be an added advantage.
  • Eager to learn and high level of curiosity
  • Ability to work independently and as part of a team.
  • Possess own transportation and willing to travel when required.
