Job Overview

Executive Assistant is responsible for handling calendar and travel management, meeting coordination, communication handling, project tracking, and confidential administrative support. Must be detail-oriented, resourceful, and professional, with excellent communication skills and the ability to thrive in a fast-paced environment while maintaining discretion at all times.

Responsibilities and Duties

  • Manage and maintain executives' calendars, including scheduling meetings, appointments, and travel arrangements.

  • Act as the first point of contact, handling correspondence, phone calls, and inquiries on behalf of executives.

  • Prepare agendas, presentations, reports, and meeting minutes.

  • Arrange detailed travel itineraries, including flights, hotels, visas, and transportation, with contingency plans for changes.

  • Liaise with internal teams, stakeholders, and external partners to facilitate smooth communication.

  • Organize and coordinate events, board meetings, and conferences.

  • Maintain and update filing systems, records, contracts, and databases, ensuring accessibility and confidentiality.

  • Always handle confidential and sensitive information with professionalism and integrity.

  • Perform any other duties and responsibilities that are assigned by the Management from time to time

Qualifications

  • Bachelor's degree in Business Administration, Management, Communications, or a related field (preferred).

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role however, fresh graduates are also encouraged to apply.

  • Proven ability to manage multiple priorities in a fast-paced environment

  • Exceptional organizational and time-management skills, with ability to handle multiple priorities simultaneously.

  • Strong written and verbal communication skills, including drafting and editing correspondence and documents.

  • Proficiency in Microsoft Office Suite

  • Experience working with a System Integrator (SI) or Technology Consulting organization is preferred

Job Type: Full-time

Pay: RM3, RM4,000.00 per month
