Role Description: Shipping Officer (Export)

Location: Telok mas, Malacca

Employment Type: Full-Time, On-Site

We are seeking a detail-oriented Shipping Officer (Export) to manage and coordinate export shipping operations. This role ensures accurate documentation, smooth shipment arrangements, and compliance with company, customer, and government requirements. The Shipping Officer will work closely with internal departments, freight forwarders, and government agencies to achieve timely delivery and customer satisfaction while maintaining quality, safety, and regulatory standards.

Key Responsibilities

Export Documentation & Order Processing

  • Prepare and issue shipping documents including Invoice, Packing List, Bill of Lading, Health Certificate, Certificate of Origin, and Certificate of Analysis.
  • Ensure compliance with order processing SOPs, export procedures, and government regulations.
  • Release customer invoices and coordinate submission of samples when required.
  • Assist in preparing Pro-Forma Invoice (PI), Sales Order, and quotations.

Shipment Coordination

  • Liaise with Planner to confirm ETD (Estimated Time of Delivery) and align production with shipment schedules.
  • Coordinate container stuffing, shipment arrangements, and export documentation with freight forwarders and shipping lines.
  • Monitor and track shipments to ensure on-time delivery and resolve issues proactively.

Customer & Complaint Handling

  • Handle customer complaints, requests, and inquiries in a timely manner.
  • Collect feedback through surveys and maintain proper records.
  • Update and maintain accurate customer database in the system.

Sales & Event Support

  • Support customer-related sales operations and events.
  • Assist in monitoring overall sales shipment activities and progress.

General Duties

  • Maintain compliance with food safety, Halal, HACCP, GMP, and ISO standards.
  • Adhere to 5S practices, safety requirements, and company CSR initiatives.
  • Perform other tasks as assigned from time to time.

Skills & Competencies

  • Strong knowledge of shipping, logistics, and export documentation
  • Familiar with international trade compliance and government regulations
  • Excellent communication in English, Malay, and Mandarin (to liaise with Mandarin-speaking clients)
  • Proficient in MS Word, Excel, and PowerPoint
  • Attention to detail and organizational skills
  • Teamwork and problem-solving abilities

Qualifications

  • Bachelor's Degree in Business Studies, Administration, Management, Marketing, Mass Communication, Multimedia, E-Commerce, or related field
  • Minimum 3 years' experience in shipping/export operations or related field
  • Computer literate, with experience in handling shipping systems and documents
  • Ability to work overtime and handle urgent export requirements

Job Type: Full-time

Pay: RM1, RM2,500.00 per month
